The **Administrative Assistant, Health Practice Conditions Monitoring (HPCM)** works within a collaborative team environment providing administrative support to ensure that the monitoring of physicians fit for practice is accurate and timely. Primary work duties will include preparing correspondence, scheduling meetings, and assisting in the general administrative duties of the department. The Administrative Assistant will track and monitor workflow, perform follow-up on files, and maintain the database to support the processes within the program in a timely fashion.

**KEY RESPONSIBILITIES**

Provide administrative support for HPCM:

- Provide support to the Program Manager including (but not limited to) working directly with the Monitor and SMA on specified files to prepare documents needed prior to meetings, and review and upload correspondence to Quest and any applicable folders.
- Draft and prepare correspondence as required and proofread to ensure accuracy in spelling and grammar.
- Create and update information in applicable databases and ensure complete data entry. Review data for accuracy and ensure data integrity.
- Monitor correspondence and meetings assigned; maintain follow-up system to ensure that proper tracking occurs.
- Schedule appointments as required.
- Request information from various external sources including Independent Medical Examiners and Monitoring service providers.
- Provide backup and coverage for the program as required.
- Ensure communication templates such as letters, forms, agreements and reports are up to date.
- Assist in the drafting of procedure manual and policies as needed.
- Perform other administrative duties as required; filing, photocopying, etc.
- Project work as assigned.

**QUALIFICATIONS**

**Education**:

- Advanced technical knowledge of a specific function or discipline (specialist), or general business knowledge of multiple functions or business processes (generalist) typically obtained through a 2-3 year post-secondary diploma, or equivalent

**Experience**:

- Requirement for 3 to 5 years of related experience.

**Skills**:

- Proficient with Office 365.
- Strong verbal and written communications skills. Strong organizational and customer service skills.
- Able to multi-task and organize competing priorities

**SALARY**

The salary for this position is $58,494 annually and includes a comprehensive benefit package and pension plan.
