Administrative Assistant

*Summary:

The administrative assistant supports the general operation of Lufthansa Technik’s Montreal repair station. This includes answering phones, maintaining files, sending and receiving correspondence, as well as greeting customers and other visitors. To ensure the efficient day-to-day operation of the reception area and support the management and other senior staff in their daily work.
*Tasks
*
- Greet guests in a professional, friendly, hospitable manner and perform the required sign-in procedures.
- Organize corporate and social events
- Coordinate the distribution of all incoming/outgoing mail, couriers and deliveries on a daily basis
- Professionally administer incoming calls
- Coordinate the onboarding process for new staff members
- Support the staff in IT related issues regarding access permissions and required hardware
- Provide daily administrative support and assistance to all staff
- Support maintaining the booking system for production workhours
- Administrative assistance for Business Travel Management (air travel, lodging, car rental, etc.)
- Assist in scheduling and organizing staff trainings
- Assist in coordinate maintenance activities for equipment and facility
- Verify invoices received from services provided
- Monitor, maintain and administer supplies inventory
- Manage expense reports
- Other tasks as assigned
**Profil**
*Knowledge and skills:
*
- Administrative DEC or the equivalent
- 1-5 years of experience in general administration or experience in similar position
- Attention to detail and responsiveness to customer and staff needs in a courteous and proactive manner
- High experience in utilizing the MS Office suite of software and MS Outlook.
- Bilingual, english and french, spoken and written, german an asset
- Must be eligible to meet requirement for Canadian Controlled Goods Program
- People oriented and has strong organizational skills
