**Position Summary**
The Administrative Assistant / Receptionist takes on various administrative tasks to support the management team. The incumbent performs general administrative activities following the instructions from direct manager.
**Essential Duties and Responsibilities**
- Greets visitors, manages badges, registers and follows all Health and Safety protocols;
- Answers, screens, and forwards incoming calls;
- Responds to questions and requests with accurate information;
- Supports the team by performing tasks related to writing, editing, reviewing, updating and producing information documents to ensure their linguistic quality;
- Produces and transcribes various documents, such as correspondences, debriefings, meeting minutes, reports, statistics, and other requested documents and memos;
- Performs document management tasks and updates files (opening, closing, filing, access control, circulation, archiving, etc.);
- Provides support to team members with information research, operational processes, reports and other ad-hoc requests;
- Performs various administrative tasks related to internal management (invoice follow-up and validation, office supply inventory management, receiving and sending mail, etc.);
- Monitors the inventory of uniforms, safety shoes, promotional items and other materials and supplies;
- Helps with the logístical organization of various events and activities (team or other meetings, committees, training sessions, teleconferences, public relation activities, recruitment events, etc.);
- Supports Purchasing Department, follows-up on delivery status with suppliers and issues POs for office supplies;
- Ensures reception area and other common areas are tidy and presentable;
- Organizes business travel and meetings as requested (flight and hotel reservations, conference calls, taxi reservations, etc.);
- Other duties as assigned by the direct manager or the management team.
**Required Skills and Abilities**
- Vocational diploma in administration or related field;
- 2 years of relevant experience in a similar position;
- Proficiency in Microsoft Office Suite (Word, PowerPoint and Excel);
- Advanced knowledge of English and French, both spoken and written;
- Excellent communication skills;
- Professionalism, courtesy, discretion and attention to detail;
- Superior organization skills and dedication to completing projects in a timely manner.

**HSE**
