**Sales and Service Coordinator**

Under the general supervision of the Director, Sales and within established policies, procedures and guidelines performs coordination and administrative duties for Sales team. Assists with developing, maintaining and servicing group bookings that generate Conference Business Event group revenue for Niagara Parks culinary, attractions, retail and golf departments. The individual will excel in a fast-paced sales environment.

This position offers a salary of $24.79 to $30.48 per hour as well as a comprehensive benefits and pension plan.

**QUALIFICATIONS**:

- Completion of post-secondary program preferably in hospitality and tourism sales and/or marketing or the equivalent knowledge and experience.
- Excellent typing skills and proficient use of Microsoft Office Suite.
- Experience with working in CRM and booking groups in GSR and Accesso reservation systems considered an asset.
- Valid Class “G” Driver’s Licence required. At leasttwo (2) years of experience working in a hospitality and tourism group sales, environment.
- Previous experience booking and servicing conference, wedding, social and travel trade groups is required.
- Experience booking VIP conference tours and WEGO bus charters in Accesso considered an asset.
- Knowledge of procedures of sales, culinary, attraction, retail and golf group reservations, private conference and wedding event buyouts, banquet menus and space availability considered an asset.
- Exemplary sales and customer service skills including communication/interpersonal skills both oral and written.
- Problem solving skills and ability to perform duties with a strong attention to detail.
- Strong time-management and organizational skills are required.
- Proven team player and ability to multi-task in a high-pressure sales and service environment.
- Ability to exercise tact and courtesy in a professional manner.

**DUTIES AND RESPONSIBILITIES**:

- Source revenue costing and prepare Conference Business Event client proposals, budget estimations and contracts.
- Assist in servicing and upselling Conference Business Event clients to ensure client needs are met if not exceeded.
- Book Conference Business Event group bookings in reservation systems for Attractions, VIP tours, WEGO Charters, Musket Demonstrations and Illumination tower colour requests.
- Ensure all details of each Conference Business Event signed contract is communicated to proper NPC department venues to facilitate proper handling and servicing of each group.
- Complete detailed follow-up with conference client once signed contract and first deposit have been received by sales manager.
- Process and coordinate signed contracts with internal venue managers.
- Track confirmed groups for deposit due dates, process deposits for functions by forwarding cheques/credit card authorizations to Finance department to process and record transaction in reservation system.
- Liaise with NPC venues to review and confirm all Conference Event contract details and review banquet event order (BEO) culinary service order agreements.
- Track actualized Conference Business Events revenue and record on booking reports.
- Maintain client contacts in CRM.
- Independently handle Conference Business Event group inquiries and leads for 20-50 people from various lead sources and submit pricing proposals, secure signed contracts, collect deposits, arrange final payment by credit card and facilitate booking with venues to ensure details of contract are fulfilled.
- Participate in sales meetings and maintain agendas, minutes, in-progress lists.
- Assist with Trade show registrations and booth décor arrangements.
- Prepare Domestic and International Sales Travel Request Forms, book travel arrangements, confirm conference and trade show registrations as requested.
- Populate Monthly Sales Revenue Generation Report.
- Maintain Sales Creative Briefs and monitor deadlines.
- Place stationary/office supply orders.
- Book Wedding & Social WEGO Charters, Musket Demonstrations and Illumination tower colour requests.
- Prepare Travel Trade client proposals and contracts as requested.
- Assist with Fam tours and site inspections as needed.
- Maintain sales kits and USB sticks as needed.
- Assist with proofing marketing materials.
- Problem solving between internal departments and sales department to ensure smooth customer service.
- Effectively handle customer complaints and refer to appropriate manager as needed.
- Respects and complies with all policies and procedures.
- Must be willing and able to work variable shifts as required and schedule to fulfill the requirements of the seven-day operations.

**Salary**: $24.79-$30.48 per hour
