Position Title: Accounting Assistant

Position Type:

**Position Summary**:
In this challenging role you will assume the ownership of the Accounts Receivable and billing functions as well as will manage all deposits. The position involves a high level of communication with customers and other departments within the company.

As a growing company there will be opportunities to take on an increasing range of tasks should an individual be interested in doing so.

**Essential Job Duties and Responsibilities**:
Accounting:

- Preparation of bank and account reconciliations
- Post month-end and quarter-end journal entries, generate and analyze the trial balance for any discrepancies
- Assist with ad-hoc reporting

Accounts Receivable:

- Contact customers for all overdue invoices, as well as send regular account statements
- Follow up with contacts to resolve any issues
- Generate and manage the Account Receivable aging report
- Assist with cleaning up the Accrued Liabilities account

Billing:

- Process company’s invoices in an accurate and timely manner
- Submit invoices on-line for certain customers
- Coordinate billing with Sales and Service Groups to ensure that all required back-up is provided and attached
- Scan and archive invoices
- Verify Sales Orders for accuracy and backup

Deposits:

- Process all bank deposits and credit card payments
- Work closely with customers, other accounting staff and sales and service representatives to ensure deposits are processed in a timely fashion

Financial Administration assistance:

- On an as required basis.

Employee Expenses:

- Submit processed expenses to payroll
- Verify and process employee expenses

Credit Application:

- Verify credit references for new customers
- Ensuring US customers provide required tax documentation

Payroll:

- Inputting hours and expenses to assist in payroll preparation

**Education**:

- University or College degree/diploma in accounting/bookkeeping.

**Experience**:

- 2-4 years of experience in an accounting role involving management of accounts receivable, collections, invoicing, bank deposits and customer relations.

**Required Skills**:

- Attention to detail, organized, takes initiative, excellent communication skills are key to this position
- Fluency in French is an asset.
- Must be polite, courteous and professional
- Customer oriented and comfortable using the telephone
- Proficient with MS Office, Excel, Word, Outlook and PowerPoint
- Ability to quickly learn company accounting software (Intuitive 9.0)
- Strong organization skills.

**Working Conditions**:
Minimum 37.5 hours per week - may require extra hours during month end and quarterly reporting periods.
