Your Opportunity

Reporting to the Senior Manager, Operations, the Administrator, Operations provides support to the Parks & Operations Departments in various areas including administration, purchasing, accounting, recruitment, payroll, training, health & safety, coordination of various projects, claims and correspondence with regulatory agencies (T.S.S.A., MOECP, MTO).

Oversee the administration and implementation of the Parks & Operations recruitment and onboarding program including:
Scheduling and organization of staff interviews for all operations departments
Manage onboarding for 700+ seasonal hires, including welcome packages, training tracking, payroll, and scheduling
Monitor compliance of the online Health & Safety program
Manage and support payroll for all Parks & Operations departments
Manage calendars, meetings, and minutes for Parks & Operations
Create & mange internal databases, including staff information, training, certifications, and physical assets

**Assist with finance, procurement, and budget administration**:
Manage Parks & Operations department invoice tracking database
Review invoices and credit card statements, track, assign budget codes, and approve as needed
Create purchase orders, budget reports, and cheque/invoice requisitions
Support RFI, RFQ, RFP, RFT, Sole Source Approval Requests and Purchase Orders to ensure compliance with compliance with CH policies
Process employee expenses forms, submit expenses for approval, and submit to finance for reimbursement
Manage the Conservation Halton Fleet and Equipment list, which also includes:
Management of registration, licensing, driver training program and policies, driver records and insurance process
Manage fleet & equipment repair ticket system
Manage relevant portions of the CH online risk management database, which includes:
Injury/ incident reporting
Document retention (lift logs, waivers, signage, inspections, etc.), short and long term
Accident investigation requiring long term document retention
Correspond with insurance providers, review, and adjust policy when needed
Your Qualifications
3-5 years experience in an administrative role
Post-secondary education in Administration, Recreation, or Ski Area Management
Post-secondary education in HR or a related field with a CHRP designation considered an asset
Knowledge of Human Resources practices, policies, and procedures
Knowledge of the Occupational Health and Safety Act of Ontario is an asset
Experience with managing large scale recruitment programs is an asset
Evaluation, organizational, and time management skills to forecast and plan workloads
Analytical skills to identify the nature and urgency of correspondence and retrieval of information
Ability to establish priorities and work under pressure to meet deadlines in a fast-paced environment
Strong communication skills to ensure excellence in customer service for internal and external stakeholders
Ability to develop, foster and sustain effective working relationships

**Strong computer skills**: Microsoft Office, HRIS systems
Ability to maintain confidentially of information obtained through meetings and documentation
