The **Administrative Assistant** provides administrative support to the Intake & Resolution team throughout the Complaints processes. This is an integral role in maintaining accurate records and ensuring high privacy controls.

**KEY RESPONSIBILITIES**

**Administrative Duties - Complaint Intake & Preliminary Investigation**
- Performs all administrative duties required for Complaint Intake.
- Reviews complaint submissions to ensure they are properly signed and completed.
- Flags high risk complaints for Intake Officers.
- Prepares and sends templated letters.
- Requests medical records from hospitals.
- Identifies and redacts confidential information from documents.

**Administrative Duties - Resolution**
- Performs administrative support for the Resolution process including preparing and sending templated letters, booking calls and booking meetings virtually and in person.
- Prepares draft agendas and takes meeting minutes for internal team meetings.
- Uploads correspondence to physicians via the CPSA Portal.

**Team Involvement & Quality Improvement**
- Participates in team meetings and department meetings.
- Updates complaint data and information in excel to track file progress and timelines.
- Identifies areas for improvement in our processes and problem solves solutions.
- Other duties, as assigned, including providing coverage for other administrative roles in the Professional Conduct Department.

**QUALIFICATIONS**

**Education**:

- Formalized specialized skills typically obtained through a one-year post-secondary certificate (preferably in an office administration, paralegal or legal assistant program), or equivalent.

**Experience**:

- Minimum of 1 to 3 years of related administrative experience with preference for experience in healthcare, legal environment or other administrative programs (e.g. social work).

**Skills**:

- High proficiency in MS Office 365 and Adobe.
- Strong analytical and communication skills.
- Highly attentive to detail.
- Must be able to maintain composure during periods of high stress and busy workloads.
- Demonstrated ability to work with a wide range of people with cultural awareness and sensitivity.
- Strong interpersonal skills.
- Requires a high level of integrity and professionalism; reliable and capable of viewing and handling confidential, personal, sensitive, and/or potentially triggering information.

**SALARY**
The salary for this contract position is $57,630 annually and includes a comprehensive benefit package and pension plan.
