This is a permanent position in the Trottier Institute for Sustainability in Engineering and Design in the Faculty of Engineering.

About Trottier Institute for Sustainability in Engineering and Design (TISED)

Established in 2012 through a gift from the Trottier Family Foundation, the Trottier Institute for Sustainability in Engineering and Design (TISED) supports research, offers courses on sustainability in engineering and design in the Faculty of Engineering, and informs decision makers and the general public about sustainability issues in the engineering, architecture and urban planning disciplines.

Position Summary:
Reporting to the TISED Manager, the Student Affairs Administrator supports student affairs administrative tasks related to the implementation of a new course-based Master of Engineering (M.Eng, non-thesis, 45-credit) in Sustainability in Engineering and Design degree, offered through TISED. A first cohort of the M.Eng program is expected to start in Fall 2023.

The incumbent will also act as a backup to the TISED team for administrative needs and participate in special projects to increase the program’s and institute’s visibility (i.e. Annual Trottier Symposium, SEDTalks, TISEDTalks, Research Workshop Program, McGill Tech Fair etc.).

Primary Responsibilities:

- Supports the TISED Graduate Program Director in the formulation of administrative procedures and policies related to implementation, delivery and daily operations of the new M.Eng program; assesses and resolves administrative problems related to student affairs and when appropriate, informs supervisor and formulates recommendations;
- Assists graduate students on a variety of matters, such as program/course selection, requirements, prerequisites, deferred and supplemental exams, etc.; tracks their progress through the program via internal and university web-based tools, including the _myProgress_ platform; prepares and verifies student records, recommends students for graduation to the GPD.
- Administers graduate student recruitment activities and events. Participates in the Annual McGill Open house and other graduate student recruitment events in partnership with MESC. Attends graduate student recruitment fairs, as needed; supports the GPD and the Admissions Committee during student recruitment and admissions process; prepares student applicant dossiers and participates in the review meetings; coordinates and participates in unit’s orientation programming for new students; coordinates and participates in annual convocation celebrations.
- Produces various student reports. Compiles statistics and data for student enrollments, annual reports, enrolments to the program, etc. Supports the functional supervision of work student staff (front desk reception); supports planning and scheduling the work in accordance with needs and monitors performance
- Liaises with Enrolment Services and the office of Graduate and Postdoctoral Studies (GPS) for any issues related to recruitment, graduation, etc.
- Liaises with all departments and schools in the Faculty of Engineering regarding complementary course offerings; establishes and fosters effective working relationships with associated units (i.e. McGill Engineering Student Centre); identifies needs and provides support in the delivery of services
- Processes external student course registration requests, inter-university transfer requests IUTAs, etc.; assists with equivalences, recognition of courses from other institutions transfer of credits and probationary status. Resolves problems or refers students to appropriate individuals/offices
- Provides input and ideas regarding program related communications and information (website, newsletters, social media content), assists in developing promotional materials for the program, and when needed, creates promotional content related to the M.Eng program; acts as back-up resource person for the TISED program website
- Approves the final e-calendar revision & course timetables; resolves course scheduling conflicts with Enrollment Services - Class Scheduling
- Tracks potential graduate awards/scholarships and notifies relevant committees and students of their availability; tracks student success rate
- Serves as a member (ex-officio) of the various committees related to the M.Eng program, including the Executive Committee, the Admissions Committee and the Curriculum Committee; assists with program changes and course proposals
- Performs all activities in support of the daily operations of the unit’s student interaction
- Undertakes special projects related to the M.Eng program and TISED’s goals and mission and performs other related duties, as required.
