**Position Summary**:
The Administrative Manager position is responsible for providing office management and financial and operational support for the Ontario Northern Boreal conservation program operating from the WCS Canada office in Thunder Bay, Ontario. This position will work closely with the Ontario Northern Boreal Program Lead, and in close coordination with the Director of Finances and Operations located in the WCS Head Office in Toronto, Ontario. This position has the potential to expand into additional areas in support of our conservation programs and activities.

**Position Objectives**:

- Provide effective financial management support for the ONB program.
- Provide administration and operational support for the Thunder Bay office.
- Provide support with fundraising and grants management for the ONB program.
- Coordinate closely with central management, finance, fundraising and communication teams that operate from the WCS Canada head office.

**Principal Responsibilities**:

- Assist program leads with the preparation of annual budgets and work plans.
- Prepare and submit quarterly expense reports.
- Prepare monthly financial reports for the ONB program lead and additional reports as needed.
- Manage program spending against grants ensuring spending is aligned with funding agreement budgets.
- Manage funding information for the programs in coordination with the WCS Canada Fundraising Team, including relevant documents, information about key dates and deliverables, etc.
- Provide support with the development of funding proposals and funder reports to meet deadlines.
- Provide support with the recruitment and management of seasonal staff, in coordination with hiring manager and the WCS Canada Manager of Human Resources.
- Support the preparation of legal agreements, primarily consulting and other service contracts, including contract modifications as needed.
- Provide office management support to the WCS Canada Thunder bay office, including purchasing and general IT support.
- Coordinate meeting, workshop and event logistics as required.
- Coordinate travel arrangements in support of meetings and fieldwork as required.
- Provide communications support including assisting with the development of communication materials and coordinating with WCS Canada communications staff.
- Ensure finance and operations workflows and practices adhere to WCS Canada policies and guideline.
- Other program support as required.

**Required Qualifications/Skills/Experience**:

- 2+ years of experience in comparable support position.
- Experience with financial management including budgeting, the preparation of expense reports, and the creation of expense reports using accounting systems.
- Experience managing legal documents, including contracts with service providers and funder agreements.
- Strong problem-solving skills, detail oriented, and resourceful.
- Outstanding organizational skills and exceptional attention to detail.
- Ability to prioritize and handle a high volume of diverse projects with hard deadlines.
- Strong verbal and written communication skills.
- Demonstrated critical thinking and problem-solving skills.
- Strong time-management skills and adaptability when facing competing priorities.
- Demonstrated ability to work independently, from remote location with mínimal supervision.
- Experience with database administration including data base entry and extraction.
- Intermediate level of experience with MS Office, specifically Word, Excel and PowerPoint including:

- Advanced document formatting skills in Word;
- Moderate to advanced Excel skills including formatting, use of advanced formulas, data summaries, etc.
- Passionate about our mission to save wildlife and wild places in Canada.
- Valid driver’s license and ability to drive.

**Other Desirable Qualifications/Skills/Experience**:

- Experience working in the not-for-profit or charitable sector.
- Work experience or an educational background related to nature, conservation, natural resource management, or related field.
- Experience providing office IT support to a team of office-based staff.
- Demonstrated experience with digital communication skills including web content, newsletters, document layouts, editing digital photography and video.
