We are searching for a Full Time Reception/Administrative Assistant to join our dynamic organization in the Heavy Civil Construction Industry. You will be reporting to the Office Manager.

You will be responsible for supporting our team day-to-day at reception and to assist with administrative side of the business.

Job Summary/Responsibilities:

- Record daily transactions
- Reconciliation of expense accounts and credit cards that belong to various entities
- Track cash expenses, collect receipts and create expense statements
- Review daily time sheet entries
- Prepare weekly job lists for weekly production meeting
- Ensure the office environment is well maintained
- Ensure office adherence to health and safety regulations
- File, organize and retrieve documents and reference materials
- Prepare and edit correspondence, communications, presentations and other documents
- Conduct research, assemble and analyze data to prepare reports and documents
- Assist with other office duties in support of the team as required
- Maintain telephone system, lists, mailboxes
- Assist Office Manager with office supplies:

- Kitchen duties list & supplies
- Maintain current all office magazine subscriptions
- General office administration
- Including coordination of couriers, daily mail,
- Backup for Payroll Duties for Vacation Coverage (includes tracking of staff absences and vacations)
- Planning of team building activities
- Provide general administrative support to the senior leadership by maintaining and organizing files, managing calls etc.
- Set up phone calls and assist with scheduling
- Schedule and plan meetings, book meeting rooms and arrange refreshments

**Job Types**: Full-time, Permanent

**Salary**: $20.00-$28.00 per hour

**Education**:

- Secondary School (preferred)

**Experience**:

- Front desk: 2 years (required)
- Administrative experience: 5 years (preferred)

**Language**:

- Mandarin (preferred)

- Day Shift (preferred)

Work Location: In person
