**Events Coordinator (Volunteer Opportunity)**
We are a start-up company seeking an Events Coordinator on a volunteer basis for approximately 10 to 15 hours per week to assist us with event coordination as it relates to opening and operating our business. This role would be ideal for anyone seeking to broaden their experience in this field or for somebody who has retired from this line of work but remains interested in the workforce. We are seeking a dedicated and enthusiastic individual who will take ownership of this role. This role will offer the ability to gain valuable experience in an events capacity (ideation, creation, implementation, etc.) while assisting us by supporting our vision and mission.
**The duties and responsibilities for role include, but may not be limited to**:
- Developing sponsorship and partnership packages for programs and events; including helping to secure sponsors and partners, maintaining relationships with sponsors and partners, and ensuring their needs are met.
- Assisting with developing, organizing and managing all programs and events; including member events, coordinating resourcing requirements (staff and volunteers needed), logístical details (for onsite, online or hybrid), collaborating with the team, members and/or stakeholders to understand their requirements and expectations to support the event (pre-, during, and post-) and to ensure that all aspects of the event run smoothly and according to plan.
- Assisting with developing and implementing a comprehensive programs and events strategy aligned with our organizational goals and revenue generation needs.
- Researching government grants and partnership prospects to support program development initiatives, and fostering relationships with organizations to promote our membership, events, programs, and services.
- Supporting grant or proposal writing when applicable for events or program development opportunities.
- Assisting with implementing systems for tracking event attendance and participation; including generating reports on event metrics, such as attendance numbers and member engagement levels.
- Assisting with negotiating contracts with members and vendors (where applicable), including catering services, audio-visual equipment requirements, IT, space and equipment requirements, online requirements, decorations, etc.
- Ensuring compliance with relevant laws and regulations for events and developing risk management plans to address potential challenges and emergencies.
- Collaborating across teams to ensure cross-functional support for programs and events as needed.
**What we are looking for**:
- Ability to communicate effectively in English (fluent). Fluency in French is an asset but not required.
- Previous experience in a similar capacity; including planning and organizing events is preferred.
- Previous experience writing proposals is an asset.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint).
- Ability to multitask and prioritize effectively.
- Strong attention to detail and organizational abilities.
