Warrior Plumbing is seeking a highly motivated Administrative Assistant who is process-driven to support the president and team leaders with administrative and operating procedures for our various plumbing divisions.

This key position requires exceptional multitasking abilities, excellent communication skills, and a strong sense of accomplishment while enjoying process work and team interaction.

Roles and Responsibilities:
Document Management: Maintain and organize important documents, reports, and files related to senior management’s roles. Ensure that all files are up-to-date, easily accessible, and properly archived.

Data Entry and Invoicing: Manage the invoicing process for the company's various plumbing divisions. This involves accurately inputting data into the invoicing system, generating client invoices, and verifying billing information for accuracy.

Financial Tracking: Assist in tracking and monitoring financial transactions related to invoicing. Collaborate with the accounting team to ensure all invoices are correctly recorded and payments are processed promptly.

Customer Relations: Act as a point of contact for customers regarding invoice-related inquiries. Address any questions or concerns professionally and courteously, fostering positive client relationships.

Coordination with Plumbing Divisions: Collaborate with different plumbing divisions to gather relevant information for invoicing purposes. Ensure that billing data is accurate and reflects the services provided by each division.

Office Management: Help maintain the overall efficiency and organization of the office by overseeing office supplies and equipment and coordinating with support staff.

Reporting: Prepare periodic reports related to invoicing, financial transactions, and other administrative tasks management requires.

Process Improvement: Proactively identify areas for improvement in administrative processes and propose solutions to enhance efficiency and effectiveness.

Qualifications:

- Knowledge of real estate, construction and plumbing industries is an asset.
- High school diploma or equivalent; additional qualifications in administration or relevant field are a plus.
- Proven experience in administrative roles or office management.
- Proficient in using office software, including Microsoft Office (Word, Excel, Outlook).
- Strong organizational and time-management skills to handle multiple tasks and deadlines effectively.
- Excellent communication skills, both written and verbal.
- Attention to detail and high accuracy in data entry and document management.
- Customer-oriented with a positive and professional attitude.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Knowledge of plumbing and real estate development industry practices and invoicing procedures is advantageous but not essential as you can learn it on the job.

**Salary**: $20.00-$30.00 per hour
