Trillium Gift of Life Network (TGLN), part of Ontario Health, is responsible for the coordination of organ and tissue donation and transplantation in Ontario. As a key member of the Tissue Program, the Coordinator, Staff Scheduling will provide coordination, operational, and administrative support to facilitate Tissue Program initiatives, operations and priorities.

The successful applicant should be able to work effectively as part of a dedicated team and be passionate about supporting scheduling, payroll and administrative operations that support the functioning and performance of tissue donation throughout the province of Ontario. The individual will be interested in learning about the tissue and organ donation system and will be able to directly see how their daily activities support the organization’s operations.

The Coordinator, Staff Scheduling is responsible for developing and maintaining the scheduling of all clinical staff in the Tissue Program including but not limited to; moderating self-scheduling, approving shift switches, back-filling open shifts, call outs for high risk staffing and tissue donation surges in accordance with relevant policies and applicable Collective Agreements.

The Coordinator, Staff Scheduling is responsible for reconciling and verifying the clinical schedules with Tissue Program staff payroll entries and is responsible for following up with staff for payroll corrections. In addition, the incumbent is responsible to maintain all related data files and prepare routine reports.

Here is what you will be doing:
- Establish and maintain positive working relationships with key internal and external Tissue Program partners- Act as the first point of contact for scheduling internal and external stakeholder meetings- Collate questions and concerns, manage incoming inquiries and triage requests as required for the Tissue Program Managers; ensure that matters are handled in a timely fashion, with attention to detail, accuracy and strict confidentiality- Oversee and assist with operational support by:
- Planning and coordinating meetings through scheduling, developing agendas and meeting materials, preparing meeting minutes and summaries, assisting with expense reports and supplier invoice requests, and providing ad-hoc support to Tissue Program team members as needed- Coordinating and posting external stakeholder on-call schedules- Maintaining multiple staff databases and contact lists to ensure new staff are added, departing staff are deleted, and any staffing changes are captured- Running reports as requested from existing databases- Support new hire on-boarding and preparation by:- Maintaining confidential computerized databases- Booking accommodations and travel for remote new-hire orientation- Creating new user profiles to Tissue Program software- Lead the planning and execution of Tissue Clinical Staff scheduling by:
- Responding to user queries and inquiries, triaging, tracking and escalating scheduling issues- Overseeing the creation, modification and tracking of master schedules- Monitoring, tracking and reporting short term absence call-ins (i.e. sick, bereavement, personal emergency, etc.) in accordance with pre-established guidelines and the applicable Collective Agreement- Developing and regularly publishing scheduling reports or statistics on staff attendance and provincial staffing levels- Scheduling multidisciplinary staff across multiple sites across the Province- Acting as lead support and administrator for Tissue Program scheduling software- Managing relief coverage and planning while escalating high-risk scheduling gaps to managers- Creating vacation schedules and scheduling special projects (i.e. Holiday planning and schedules)- Assigning and scheduling applicable staff to educational sessions, training, and competency assessments-
- Being a resource for matters related to Tissue Program scheduling- Lead payroll verification process by:
- Reconciliation and verification of schedules, worked hours and payroll time entries- Gathering information on worked hours from multiple sources for each employee- Calculating correct amount of overtime as per Collective Agreement- Responsible for collaborating with payroll team on any staff payroll queries- Investigating and following up on any time entry errors- Work in compliance with Occupational Health and Safety/Accessibility for Ontarians with Disabilities Act- Additional duties as assigned
