Administrative Assistant

Job Duties
- Report directly to Service Management - assist with all management administrative functions.
- Coordinate hotel bookings for Field Service Technicians.
- Manage reports coming in from Field Service Technicians.
- Oversee open order report.
- Manage doForm reports, update and make changes as required.
- Coordinate and setup video conference calls.
- Coordinate department meetings.
- Record and file meeting minutes.
- Create and maintain Excel spreadsheets.
- Pull and formulate reports from our customer database.
- Communicate with customers in a professional manner.
- Create, Update and format Service Manuals - coordinate with graphics and printing.
- Arrange and book fly-in Service trips.
- Maintain filing and archiving systems.
- Complete data entry tasks with high accuracy.
- General office duties as assigned.
Job Requirements
- Business administration diploma, certificate, or equivalent experience is an asset.
- Minimum of two years of administrative experience is desired.
- Experience with QuickBooks (or equivalent) is an asset.
- Proficiency with the full Microsoft Suite including Access is a must.
- Excellent communication skills and the ability to work in a team environment.
- Experience using a fillable service form program is an asset.
