Project Coordinator/administrator

**Overview**
The Project Coordinator is responsible for overseeing the preparation and coordination of project builds, collaborating with the Superintendent and subcontractors, assisting in scheduling, ensuring regulations are met and permits are secured. Additionally, ensuring all required documents/permits/licenses, related to job leads and job builds are acquired and stored in a timely manner to ensure that projects can be executed on time.
**Responsibilities**:
- Responsible for all project coordinating duties and ensuring all project needs are secured prior to scheduling
- Ensures all permits required for site builds are obtained
- Coordinates Flagging coverage with subcontractors
- Create job leads in Buildertrend: name it, upload documents & quotes
- Responsible for administrative duties related to new bids and ongoing bids
- Public Relations duties with residents affected by jobsite disruptions
- Create and log Repair POs and invoice completed repair jobs
**Permit Duties**:
- Update scheude with site builds
- Provides copies of business license/proof of insurance as requested
- Forwards TMPs (Traffic Management Plans) as required
- Obtains noise variances as needed
- Coordinates payment for municipal permits as required (with company Visa card)
- Determines work zone based on blueprints
**Project Coordinating Duties**:
With direction from Superintendent, responsible for scheduling subcontractors & required equipment rentals
- Coordinates scheduling of traffic control and orders required equipment for site builds
- Creates crew/office site build packages
- Obtain all 3rd party utility locate confirmations (ie. Shaw, Rogers, Zayo, etc.)
- Identify & flag projects that require inspectors; review drawings to determine notification requirement for inspectors in Buildertrend job notes.
- Obtain municipal As Build records for: streetlights, water, sewer, etc. using municipality GIS maps or by contacting the municipality directly
- Create notifications for affected residents’ and organize distribution
- Prepare hard copy folder for scheduling
**Administrative Duties**
- Oversees proper organization of project needs (ie. Permits, licenses, plans, photos, as-builds )
- Inputting and updating project estimations into Quick Books
- Assist in the preparation and management of project documentation, including contracts, schedules, and reports.
- Coordinate communication between project stakeholders, including clients, contractors, and team members.
- Utilize construction management software to track project progress and maintain accurate records.
- Support the estimating process by preparing cost estimates using tools such as HeavyBid.
- Review blueprints and schematics to ensure compliance with project specifications.
- Manage time effectively to meet project deadlines while maintaining high-quality standards.
- Conduct regular updates on project status and assist in identifying potential risks or issues.
- Facilitate meetings and prepare agendas, minutes, and follow-up action items as necessary.
**Qualifications**
- Alteast 2 years of relevant experience in Project Coordination in the construction industry.
- Proven experience in project management and construction coordination
- Proficiency in construction management software and QuickBooks
- Excellent time management abilities and understanding of schematics
- Ability to work collaboratively in a fast-paced construction environment
This is a mat-leave coverage positon for 12-18 months, with the possibility of an extension.
**Job Type**: Fixed term contract
Contract length: 12 months
Pay: $25.00-$26.00 per hour
Expected hours: 32 - 40 per week
