Job Title: Program Administrative Assistant

Program: Career Path for Skilled Immigrants

Location: Surrey

Hours: Permanent - 35 hours a week

The Program Administrative Assistant will assist the Program Manager and program staff and will be

responsible for providing support to all program activities. This includes monitoring project needs,

responding to inquiries, supporting intake and selection process, liaising with project participants

distribution of project marketing, documentation and filing, formatting resumes and cover letters for

clients, etc.

**Duties and Responsibilities**:

- general office operations; update records of participant files;
- replenish and take inventory of office supplies;
- meet regularly with project staff to assess project needs;
- maintain and process supports to participants and all reporting requirements;
- develop and maintain timely and accurate reports;
- monitor and analyze monthly financial results against budget, and report variances;
- develop and maintain financial accounting systems for cash management, accounts payable,

accounts receivable and petty cash;
- accounts receivable/accounts payable responsibilities include ensuring all expenses have proper

approvals, posting expense to accounting system, (etc.);
- prepare boardrooms, classrooms and office space for meetings and interviews;

- correspond with participants confirming acceptance and providing project details;

- prepare intake forms ensuring participant documentation is accurate and complete;

- develop participant orientation packages; prepare client case files and maintain client database;
- support monthly budget reconciliation process and document project expense reports;

- create marketing materials to promote program; and
****:

- perform other related job duties as required.

**Qualifications and Experience Required**:

- completed degree or diploma in related discipline supplemented 2 years of experience in a

similar position; OR equivalent combination of education and experience;

- experience working for not-for-profits, preferably in employment services;***
- excellent administrative and organizational skills;
- excellent verbal and written communication skills in English;
- Proficient in the use of the Microsoft Office Suite;***
- Detail oriented, highly organized and able to meet tight deadlines;
- valid BC drivers’ license and reliable vehicle insured for business use with $2 million liability and

clean drivers abstract; and
- clean Criminal Record Check (Vulnerable Sector).
