Reporting to the executive director, registration, the registration (administration) manager is responsible for the oversight of registration in the educational, academic and administrative classes, review and oversight of retraining in scope of practice for applicants and registrants, review and oversight of the issuance and review of certificates of professional conducts and annual licence renewal, implementation and maintenance of data updates, oversight of processing parental leave, resignation, and retirement and requests for medical record requests, and licensing for all classes in accordance with College policies and procedures and in compliance with the rules pursuant to the _Health Professions Act_ (_HPA_).

This role works independently, and also provides leadership to a team, to achieve the mandate of the department and strategic direction of the College.

**DUTIES AND RESPONSIBILITIES**:
Duties include, but are not limited to, the following:

- educational classes (resident, clinical associate, trainee, fellow, medical student, clinical observerships, electives, and clinical experiences)
- academic class
- administrative class
- parental leave management
- requests for medical records
- medical verifications for members of the public
- monitor and follow-up on outstanding documents (general, physiciansapply.ca, Education Commission for Foreign Medical Graduates (ECFMG)
- ensure criminal record reviews are being completed
- manage prescribing privilege requests for postgraduate registrants
- manage Medical Identification Number for Canada documentation
- refunds
- provide oversight of the licensing for all classes of registration by ensuring all required documentation is received and processed in a timely fashion
- review and oversight of retraining in scope of practice for applicants and registrants
- review and approve retraining plans, monitoring of and follow-up for completion
- review and oversight of the issuance and review of certificates of processional conduct by ensuring appropriate disclosure requirements are met, and when issues are identified liaise with the appropriate College department and/or jurisdiction for action
- review and oversight of the processes, development, implementation, and follow-up for the annual licence renewal, through engagement with other College departments, form development and testing, monitoring and follow-up of form completion, and leading the follow-up required
- provide the oversight for the implementation and maintenance of data updates, through engagement with internal and external partners, monitoring and identifying changes to processes which will impact data, and to coordinate data updates for:

- class changes not related to initial registration and licensure (i.e. resignations, discipline, postgraduate paying, temporarily inactive for parental leave) and corrections when needed
- database report reviewing and updating of data in iMIS (e.g. address changes, name changes)
- Medical Identification Number for Canada
- provide oversight and leadership of human resource management by:

- provide direction, support, training, mentoring and oversight to staff members as appropriate
- complete probationary, semi-annual and annual performance evaluations for staff
- undertake regular meetings with individual staff as well as team meetings
- assign or delegate tasks as appropriate and monitor staff performance
- review personal and confidential matters with staff members as required
- promote teamwork and share appropriate information with staff in a timely manner
- other duties include but are not limited to the following:

- participate in the development and recommendation of changes to policies, standards, procedural descriptions or summaries
- identify issues for discussion at full registration department meetings
- coordinate existing or improved procedures with IT
- assist with calculating departmental statistics and reporting
- represent the registration department with IT project development and implementation
- liaise and offer advice to College staff regarding independent practice as necessary
- draft general correspondence for the executive director, registration

**SKILLS AND QUALIFICATIONS**:
Required skills and qualifications include the following:

- bachelor’s degree, or higher, is preferred or the equivalent in experience and qualifications
- experience working within a regulatory framework preferred
- experience in leadership and human resources planning and management, including a proven ability to mentor, motivate and develop staff
- knowledge of College policies and procedures is an asset
- familiarity with scientific/medical language
- experience in development and writing of policies, standards and procedural descriptions
- excellent oral and written communication skills
- demonstrated ability to multi-task and prioritize, work under pressure and meet deadlines
