**Job Title: Field Service & Office Coordinator**
**Report To**:Field Service Manager
**Department**: Field Service
**Summary**:This position is responsible for handling office functions including: Field Service activities, Logistics/ Shipping & Receiving; and other aspects of office administration such as: Travel bookings, Marketing, and various other office services duties as required.
**Essential Duties and Responsibilities **include (but are not limited to) the following:
**Office Administration**
- Responsible for reception area and duties, including: sorting mail by company, signing for incoming couriers and shipments, and handling inquiries, etc.
- Gatekeeper for incoming calls.
- Process incoming mail on a daily basis: open, date stamp, sort, and process and file accordingly.
- Complete and maintain accurate shipping and receiving documents (Commercial Invoice, Packing List, Bill of Lading (BOL), courier waybills, Manufacturer’s Affidavit, etc.).
- Coordinate international and domestic shipments including: liaising with customer-specified carriers, as well as Agar preferred carriers.
- Schedule couriers, complete documentation for local and domestic shipments.
- Warehouse organization and maintenance, as required.
- Responsible for a variety of office administration functions including: booking Travel, Marketing, Office Supplies, Shows & Conferences, and other office services duties as required.
**Field Service**
- Prepare quotes and sales orders in SAP, including the required documentation by the accounting department for invoice processing.
- Data and filing of related documentation in the server.
- Booking of travel & accommodation, including private accommodations at customer’s facilities.
- Tracking of KPI and activities
- Scheduling of services
- Grammatical/commercial review of technical reports and documentation.
- Preparation of documents required by field service department.
**Safety**
- Schedule Health & Safety training courses as required (First Aid, WHMIS, etc.).
- Track key indicators for safety
- Ensure safety manuals and procedures are in compliance as per the law and customer’s site requirements.
**Education / Experience**:
- College or technical school diploma and/or three years related experience and/or training, or equivalent combination of education and experience.
**Communication & Language Skills**:
Clear and effective communication, both written and verbal, is a must. Must be able interact and liaise appropriately and professionally with customers and suppliers/vendors. A team player who cooperates effectively with all team members. Ability to read, analyze, and interpret documents, such as safety rules and procedure manuals. Able to prepare reports.

Ability to calculate figures and amounts, such as: discounts, interest, commissions, percentages, currency conversions, dimensions, proportions, and area.
**Physical Demands**:
Must be able to lift at least 25 lbs. This position requires some lifting, carrying, bending, pushing, pulling, climbing, stooping, and twisting.
**Job Type**: Fixed term contract
Contract length: 8 months
Pay: $23.14-$27.00 per hour
Expected hours: 40 per week
