**SUMMARY**:
DUTIES & RESPONSIBILITIES:

- Support for the CEO will primarily focus on scheduling
- Manage CEO’s schedule which includes liaising with internal and external stakeholders, scheduling of meetings, arranging travel logistic as required and other related activities
- Calendar management and ensuring all related logistics are handled seamlessly in a timely manager
- Processing expense reports
- Draft and maintain agendas for some meetings, take minutes and track action items for follow up
- Maintain CRM database with details of CEO’s engagements with external stakeholders
- Work collaboratively with and act as administrative back-up for the Board Governance Officer to ensure all relevant Board of Directors and Committee meetings and engagements are co-ordinated and maintained in schedule
- Reception coverage in Mississauga head office (2 days/week)
- Support for other corporate team members will include a range of administrative tasks
- Scheduling internal and external meetings, travel and other related activities
- Development of reports and presentations
- Processing of expense reports
- Other administrative tasks as required
- Perform special projects or other duties as required

QUALIFICATIONS:

- Post-Secondary Education required
- 5-7 years related experience supporting Executives
- Experience co-ordinating executive calendars in a dynamic, every changing and fast paced environment
- Highly proficient in Microsoft Outlook and Office (Word, Excel, and Power Point), Adobe Acrobat. Familiarity with SharePoint an asset.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with internal and external stakeholders
- Expert English writing and verbal communication skills
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Demonstrated ability to complete projects and meet deadlines in a fast paced environment
