Vision Truck Group is searching for a Human Resources Assistant with drive and determination to support the Human Resources functions and tasks for our multi branch company. This person will have a high level of personal maturity and excellent inter-personal skills. The Human Resources Assistant will support various programs through daily administration, disability management, payroll & benefits, employee relations, legislative compliance, recruitment & retention, and employee engagement. While based at our head office in Cambridge, Ontario, there will be occasional travel to our other branches.

DUTIES AND RESPONSIBILITIES:
Administration
- Administering Vacations, Holidays, Leaves and other on our "OWL TIMECLOCK"
- Administering Benefits and Pension
- Administer various company system and security access on an on-going basis.
- Ensures timely and accurate updates of employee records. Gather, track, and maintain both physical and computer records). Produces HR reports on a regular basis to guide management in making decisions
- Updating various spreadsheets with accurate information
- Performing Compliance Audits (Health & Safety, Benefits, Pension, etc.)
- Drafting various letters including but not limited to; employment confirmations, progressive discipline letters, job descriptions etc.
- Tracking of WSIB and completing employer forms

Health and Safety
- Ensure company policies and procedures are in line with the Occupation Health and Safety Act and Ministry of Labour Guidelines. Collaborate with management at locations to ensure compliance.
- Participate in Health & Safety programs and initiatives at a location and organizational level
- Lead and coordinate the Joint Health & Safety Committee. Maintain compliance including minute taking and posting.
- Following existing processes, administer WSIB claims, including early and safe return to work programs; make recommendations to improve the claims management process
- Supports accommodation and return-to-work plans by facilitating meetings and correspondence with managers and employees and provides advice to management when needed
- Assists staff to implement and adhere to company health & safety program and policy.

Onboarding/Offboarding
- Owns the on-boarding and offboarding process (timely execution) to ensure success of new employees. Initiates communication with hiring managers and/or new hires as required to receive missing information
- Create onboarding packages and employee handbooks.
- Takes initiative to continuously improve the package/handbook and overall employee experience
- Conducts virtual engaging companywide orientation presentations
- Track all information in the Employee Information Spreadsheet

Compensation and Benefits
- Actively supports payroll and benefits
- Administers employee extended health benefits and works with third party vendors to resolve issues
- Benefits and pension administration
- Act as a first point of contact for employee inquiries into compensation and benefits programs
- Processing approved pay increases, letters of advisement/ change, updating employment agreements, etc.
- Assist Human Resources Manager with wage reviews and job grading

Recruiting & Selection
- Supports the needs of hiring managers in regards to manpower planning
- Provides advice to hiring managers and helps manage the recruitment process, inclusive of communicating proper procedures, internal/external job posting
- Conducting applicant screening and supporting interviews as required
- Creation of offer packages

Legislation
- Stay up to date with various employment legislation
- Take initiative to research upcoming policy requirements. Audit current compliance.
- Audit Health & Safety and ensure system of maintaining compliance

Employee Relations
- Respond to employee inquiries regarding company policies and procedures, benefits, and pension.
- Develop strong, positive relationships with all levels of employees within the Organization
- Assist Human Resources Manager as required

Engagement
- Actively participates in initiatives that improve the employee experience. Provides input into the planning and design of employee programs such as health and safety and rewards/recognition. Promotes effective communication of programs, initiatives and projects across the company

Assist Human Resources Manager with all duties and responsibilities as required.

QUALIFICATIONS:

- Post-secondary education with a degree or certification in Human Resources Management
- 1+ years of experience within Human Resources is required
- CHRP Designation would be considered an asset
- Solid working knowledge of employment legislation
- Strong problem-solving skills, analytical thinking, organizational awareness, and high initiative are required
- Strong interpersonal and communication skills (both written and verbal)
- Strong organizational skills with the ability to prioritize tasks
- Ability to function in a busy, open work environment. Accuracy and confident
