**Description**

The **Haskayne School of Business **is currently seeking a Full-time Regular **Events Manager**.

At the Haskayne School of Business, our mission is to create innovative research, unparalleled learning opportunities and meaningful engagement with our community. As the lead event planner for the school, the Events Manager plays a critical role in delivering on key strategic events that engage with the business community, recruit students, share our academic's research with the world and grow the reputation of the Haskayne School of Business at the University of Calgary.

The manager will oversee the organization and management of the school's three-person events team and have oversight of the booking of the Events Centre in Mathison Hall. The position requires the ability to use discretion, maintain professionalism, confidentiality, and composure under pressure, demonstrate adaptability and flexibility, provide efficient, quality service to all stakeholders, and often requires multi-tasking and the ability to deal with multiple priorities. The incumbent of this position requires a high level of independence and initiative and must have the ability to anticipate and strategically develop and manage workflow.

The volume and difficulty of the work varies from routine to complex with events ranging from small gatherings to our signature event gala. Having the ability to work in a fast paced, team environment, and under stressful situations, the need for accuracy, dealing with continuously shifting priorities, and a high traffic workplace with frequent interruptions is key to the success of the incumbent.

**Summary of Key Responsibilities** (job functions include but are not limited to):
Event Programming
- Plan and execute a wide range of events of varying complexity at a senior level. Most events will be in-person, though some may be virtual and hybrid events
- Event program development, implementation, evaluation and reporting. Ensures that events have clear metrics of success
- Create event briefs, create/update event playbooks and other supporting planning materials
- Have well-developed operational management expertise, capable of delivering multiple projects simultaneously and working effectively under pressure and time constraints
- Have budgetary control experience - monitoring expenditure and preparing post-event expenditure report
- Oversee program delivery including selecting and managing suppliers and contract employees and providing direction to support staff
- Oversee catering contracts, execution and key performance indicators for the Executive MBA, DBA and Executive Education programs
- Keen attention to detail with the ability to work on one's own initiative, under pressure and meet tight deadlines
- Work professionally and collaboratively with other campus community engagement professionals

Management and Leadership
- Responsible for the development and management of event project budgets and financial reporting
- Provide guidance and leadership to staff to ensure efficient and high-quality service. This includes recruiting the right people, mentoring/training, establishing clear expectations and performance management
- Report-to-Manager duties such as time approval, initiation of transactions, annual performance reviews etc.
- Provide quality leadership by developing, maintaining and modeling positive working relationships with faculty, staff, students and community stakeholders. The ability to remain calm under pressure and adapt to the needs of a busy and changing environment
- Responsible for liaising with the Destiny One/Modern Campus registration system advisory group on behalf of the Haskayne Community Engagement project office, including raising issues, approving certain financial transactions on the platform, arranging training as needed for users and super users of the platform and maintaining a good general knowledge of platform functionality to mentor others on its use
- A demonstrable ability to work well under pressure, responding effectively to changing priorities
- Coordinate suppliers, handle queries and troubleshoot on the day of the event being present on site throughout to manage timings, schedules and ultimately ensure the event runs smoothly and is within budget

Strategic Planning
- Establish Community Engagement priorities through consultation with the Senior Director, External Relations
- Engage and support strategic planning, program planning and business plan development to advance school priorities Identify, secure and leverage new opportunities to meet the University of Calgary's foundational goals and Ahead of Tomorrow strategic plan

**Qualifications / Requirements**:

- Qualifications include a post-secondary degree and minimum five year's experience in the event management field, particularly around outreach, engagement, and event design and execution
