Overview:
The Manager, Operations and Visitor Services oversees and manages the daily operations of the Operations and Visitor Services department. Reporting directly to the Vice-President, Finance, Operations and Visitor Services, this position is responsible for supervising a diverse team, ensuring the smooth functioning of the visitor information centers, materials distribution, and building maintenance operations. The Manager will collaborate closely with department heads, implement strategic initiatives, and maintain high standards of service delivery.
**Responsibilities**:
- Supervises and provides leadership to direct reports, creating a positive work environment that foster and encourage employee engagement and teamwork.
- Manages and holds accountability for all Travel Manitoba visitor information centres ensuring visitors receive friendly, accurate, and timely information, as well as exceptional customer service, ensuring their needs are promptly addressed and they enjoy a positive experience.
- Manager and holds accountability for the management of materials distribution and inventory functions, maintaining operational continuity and supporting cost control initiatives by minimizing wastages and excess inventory.
- Seeks out and leverages emerging technologies and tools to enhance efficiencies in VIC, warehouse, and mailroom operations, incorporating automation solutions and digital systems to optimize processes.
- Ensures prompt and cost-effective fulfilment of material requests, while also coordinating closely with relevant internal and external stakeholders to ensure timely delivery and availability of stock.
- Manages and oversees all Travel Manitoba facilities and equipment requirements and ensures that the corporation has cost effective facilities that are safe, comfortable. Ensures compliance with safety regulations and promptly addresses any issues or emergencies that arise.
- Collaborates with property managers for leased facilities, ensuring effective communication and coordination to maintain leased spaces in compliance with company standards and requirements.
- Helps protect the organization's assets, prolong the lifespan of facilities, and enhance the overall experience for occupants, contributing to a positive reputation and supporting operational efficiency.
- Collaborates and works with finance to develop departmental budgets, monitoring expenditures against budgetary allocations, identifying cost-saving opportunities, reviewing financial reports, and adjusting spending plans as needed. Adheres to financial guidelines and ensures resources are allocated to activities that support departmental objectives and organizational success.
- Contributes to streamlining workflows, increasing productivity, and delivering better outcomes for the department by identifying opportunities for process improvement, implementing solutions to enhance operational efficiency and effectiveness, monitoring the effectiveness of improvements, and adjusting, as necessary.
- Liaises and manages vendor relations to ensure external suppliers and contractors deliver goods and services that meet the organization's quality standards and requirements, to help minimize risks, control costs, and maintain service levels.
- Stays informed about applicable laws, regulations, and industry standards, establishing, and communicating internal policies and procedures and addresses non-compliance issues promptly to maintain compliance with regulatory requirements and help safeguard the organization's operations, maintain stakeholder confidence, and demonstrate corporate responsibility, supporting long-term sustainability and success.
- Ensures compliance with relevant regulations, policies, and procedures governing visitor services, materials distribution, and building maintenance.
- Prepares regular reports for senior management, providing updates on departmental activities, key performance indicators, and progress towards goals to help align departmental efforts with organizational goals.
- Participates within the Management Team by attending meetings and contributing ideas.
- Collaborates with other divisions, fostering strong working relationships to support cross-functional initiatives and achieve organizational objectives.
- Oversees the support Travel Manitoba merchandise sale.
- Oversees the Master Angler and Master Hunter program administration.
