**The Role**

**Key Responsibilities**
- Prepare and coordinate project documentation while ensuring rigorous version control and meticulous document management throughout the lifecycle of a project.
- Act as a central point of contact for inquiries and as a liaison between clients, consultants, contractors, and sub-contractors.
- Assist with the development of project schedules. Track, monitor, and follow up on all project timelines, milestones, deliverables, and tasks.
- Coordinate project meetings by preparing agendas, taking minutes, and preparing / distributing meeting summaries to participants.

**Detailed Duties**
- Prepare, distribute, and track project documentation including construction tenders, requests for proposals and amendments, purchase orders, change orders, contract documents, etc.
- Maintain, and where necessary improve upon, the standardized templates used in project management.
- Take ownership of accurate document management, including version control, consistent naming conventions, filing standards, and the integrity of legal templates.
- Receive and collate all project inquiries; assist with developing responses and answering inquiries in a timely fashion.
- Coordinate and schedule consultants and contractors to meet contractual obligations.
- Monitor efforts and billing of consultants, contractors, and vendors to ensure they operate within the scope of work.
- Advise the Project Manager of contractual risks or any potential issues that may affect the budget, cost, or schedule.
- Prepare project reports and status updates for internal and external project stakeholders.
- Provide administrative support to the project management team with other tasks and duties as necessary.

**Skills and Qualifications**
- Degree or diploma in architecture, engineering, interior design, or a related field.
- PMP certification is a strong asset.
- Minimum 3 - 5 years of experience as a Project Coordinator, Project Administrator, or similar role.
- Previous experience working in a similar role in the construction industry is a strong asset.
- Currently holds a valid G driver’s license and the ability to travel to various site locations as required.
- Strong proficiency in Office 365 (Word, Excel, SharePoint, Teams, Outlook).
- Strong proficiency in Microsoft Project.
- Superlative communication skills, both written and verbal, with the ability to communicate effectively with a variety of stakeholders including technical, professional, and management-level staff.
- Ability to communicate in French, both written and verbal, would be considered an asset.
- Excellent critical thinking skills with a knack for creative problem solving.
- Exceptional organizational skills with the ability to prioritize multiple requests and deadlines.
- Ability to adapt to new processes and work accurately in a fast-paced environment.
- Meticulous attention to detail.
