- Provide a warm welcome to all visitors, manage the phone (transferring calls/taking messages), handle incoming/outgoing mail & courier packages.
- Order office stationary and business cards. Ensuring you are ‘acting like an owner’ by ensuring we are receiving products at competitive pricing
- Event and meeting organization, which includes but is not limited to: order catering, setting up boardrooms, coffee-pickups, and booking off-site events.
- Maintain relationships with office vendors such as coffee, vending machines, cleaners, fruit ordering and couriers.
- Administrative support to our Accounting Team, including but not limited to: matching invoices to PO’s, and mailing out service invoices and statements.
- Support managers of other departments with administrative responsibilities as required. For example this includes, but is not limited to: creating and assembling monthly inspection booklets, manuals, training booklets, etc.
- Taking pride in the office and making sure the front office area looks fantastic
- Key member of the social committee meetings, helping coordinate all company social activities.
- Support with several HR Initiatives, including but not limited to (engagement/recognition activities, onboarding, maintaining the company directory)
- Draft the company quarterly newsletter in collaboration with marketing for design assistance.

Please note, responsibilities may change as required and we are looking for an all-star with a team-oriented spirit who is happy to help wherever needed.

**Requirements**:

- Ability to positively connect with people and provide legendary customer service, with both internal and external customers
- High level of professionalism in all interactions and situations
- Previous experience as a Receptionist or Office Coordinator, is an asset
- Proficient command of English, both the written and verbal
- Proficient skills in Microsoft Word, Excel, and Outlook
- Operation of mailing machine and postage machine, is an asset
- Detail-oriented and highly organized
- Champion of our company DNA - helping build a positive work environment and continuing to make this a fun place to work
- Open to provide feedback and suggestions on how to improve processes and improve our department
