**Receptionist & Office Administrator**

A Receptionist & Office Administrator is needed to provide exceptional customer service, manage office operations, and support a team in a fast-paced automotive dealership environment.

**Job Description**

**Roles and Responsibilities:**

• Greet customers and answer phone calls
• Direct phone calls and manage customer inquiries
• Check deductible for files and collect payments from customers
• Coordinate with the detail department and production manager
• Contact customers for scheduling and vehicle pick-ups
• Monitor and remind customers of appointments and vehicle pick-ups
• Update appointment calendars and schedule appointments
• Take tow-in vehicle requests and create ICBC files
• Prepare paperwork and key tags for job orders
• Assign jobs to estimators and check customer's loss of use coverage
• Send rental reservation requests and monitor Hertz rental bills
• Maintain cleanliness of the lobby and washroom
• Receive and sort daily mail, deliveries, and couriers
• Invoice completed files and export invoices to QuickBooks
• Organize past month files and maintain office supplies
• Perform other clerical receptionist duties

**Ideal Candidate:**

• Automotive dealership service experience is an asset
• Team player with excellent communication skills
• Ability to multi-task in a fast-paced work environment
• Strong organizational skills and attention to detail
• Working knowledge of computers
