Job Summary

This is a full-time, one year term position. Secondments will be considered for this position


This position works in close collaboration with key cross-functional user groups, and makes recommendations that inform approaches to training end-users and change management across the faculty. The SME considers downstream impacts of decisions and works with the project team to ensure all impacted stakeholders are considered and informed of changes and impacts. This role will work closely with diverse academic disciplines that have unique identities, values, and complex degree pathways, as well as long standing practices based on pedagogical objectives and educational mission. This position will ensure alignment of new processes with these diverse academic practices as well as faculty and university policies and procedures.

Organizational Status

This position is accountable to the Project Manager, Arts Workday Student, under the portfolio of the Associate Dean Students, to consult on effects to relevant systems related to IRP Student, processes, and procedures in the faculty. The role will work closely with end users, the Arts Workday Student implementation project team, Arts Dean’s Office Leadership, the Arts Transition Network including Primary Transition Leads and Local Transition Leads, all impacted units across Arts, central UBC service units (ex. Integrated Service Centre, Enrolment Services), and other units across UBC as applicable

Work Performed

Acts as change leader. Identifies changes needed to adapt business processes and workflows, identifies the significance and impacts of these changes, and identifies points of possible change resistance. Translates changes and possible impacts between the Arts Workday Student project team and operationally focussed department-based end users.

In collaboration with the Business Analysts, collects information and feedback from other local transition leads, administrators, Arts Workday Student Project Team, leadership, and/or end users. Converts the information to inform recommendations on training plans and changes needed to unit processes and procedures.

Using in-depth knowledge of Arts academic program processes, provides input to training approach and materials for new processes; participates as a learning resource in end-user training. Works in close collaboration with Business Analysts, acting as a sounding board for proof of concepts. Partners with academic units on training implementation; supports and identifies areas of concerns or gaps in materials developed by Business Analysts.

Contributes to the planning frameworks for training; supports the implementation of the training framework, contributing to meetings and facilitating presentations as appropriate.

With a focus on supporting the Business Analysts in developing and implement training, participates in facilitating engagement with user groups; brings in expertise from Academic unit perspectives to bridge knowledge gaps and facilitate translation between units and the project team; identifies and summarizes items requiring escalation to team members or the Project Manager, as applicable.

Makes recommendations around how to best communicate Arts Workday project information across the faculty. Acts as a facilitator between project teams and units, where appropriate. Effectively and accurately communicates relevant project information to the Project Manager, team members, and other audiences as required.

Provides recommendations on action plans for impacted units to facilitate effective adoption of the new systems; works proactively as a change agent with business unit leaders to identify challenges and recommend solutions to key issues.
