Airports Council International (ACI) is the only global trade representative of the world’s airports. Established in 1991, ACI represents airports interests with Governments and international organizations such as ICAO, develops standards, policies, and recommended practices for airports, and provides information and training opportunities to raise standards around the world.

**I**. Description**:
Responsible for the administration and coordination of operational activities pertaining to the provision and delivery of the products and services of the Global Assessments and Accreditations Department.

Work in consultation with the Manager, Assessments and Accreditations to plan, schedule, organize and coordinate programme resources (internal and external) to tight timelines and budgets.

Contribute and collaborate on ideas towards operational efficiency and improvement; communicate and coordinate with ACI internal staff, ACI member airports and external clients worldwide.

**I**I**. Primary Responsibilities**:

- **Programme Planning and Coordination**: Provide programme information and share details to assessments and accreditations clients; collect, maintain, and disseminate all required information to the host organization and partners; assist in the set up and oversight of the logistics and administrative requirements for the delivery of assessments.
- **Schedule Management**: Maintain and update the Global Assessments and Accreditation project calendar with all programme activities and projects, and report activities during weekly meeting.
- **Client Relations Management**:Support and coordinate communications with ACI member airports, partners and assessors for all Global Assessments and Accreditations activities; serve as the point of contact for international customers for all department-related inquiries; build positive relations within the team and external parties.
- **Budget and Invoice Management**: Update budgets for each of the programme activities, track expenditures and transactions for the corresponding products and services; issue, manage and follow up on invoices as needed meeting tight department deadlines.
- **Document Management**: Ensure all internal documents are verified for accuracy on a quarterly basis, such as standard operating procedures, working instructions, document templates and any other documentation used within the department.
- **Database and Platform Management**: Suggest enhancement and keep track of the maintenance and upkeep of the Global Assessments and Training Department database in the CRM as well as other IT platforms used for all products and services.
- **Programme Development**: Assist with enhancement and/or creation of new documentation pertaining to the products and services of any new Global Assessments and Accreditations initiatives; as well as continuous improvement of departmental procedures and processes (SOP); conduct various analyses on products and services to better target marketing initiatives.

**Internal**: Reports to Manager, Assessments and Accreditations and works with other Global Assessment and Accreditations staff, ACI Regional and World staff as required.

**External**: Liaise with staff from the ACI membership, Global Assessments and Accreditations partners, external organizations and other agencies as required. Respond to queries and draft information to ACI members on department related matters.

**V**. Qualifications**:
**E**d**u**cation and Experience**
- At least three years’ demonstrated experience as a programme coordinator or similar position
- Post-secondary education or higher
- Experience with communications at various levels within the organization
- Experience in coordinating multi-team member projects is an asset.

**Skills**
- Excellent time-management, organizational and problem-solving skills
- Solution oriented and proactive in the achievement of results
- Ability to work in a service-oriented culture and deliver excellent customer service (verbal and written communication) skills are a must
- Proficiency in MS Office and suite software (MS Excel, MS Word, MS PowerPoint) is essential
- Excellent written (document-writing, proofreading) and spoken English skills are required
- Conscientious of details and prioritize getting the job done right the first time
- Working knowledge of other languages is valuable - preferably French and/or Spanish
- Collegial, tactful, diplomatic, and discreet in all dealings
