Yorkdale Fine Cars is a family owned and successfully run Luxury Used Car Dealership. We have been in business for over 30 years, and are well-known within the Greater Toronto Area and are proud members of UCDA (Used Car Dealers Association) & OMVIC (Ontario Motor Vehicle Industry Council). **Responsibilities**:

- Utilize Dealertrack software: Efficiently navigate and operate Dealertrack software to generate customer documents such as sales contracts, finance agreements, and other necessary paperwork for vehicle sales and leases.
- Document processing: Accurately handle and process funding documents for deals, ensuring timely submission and retrieval of required paperwork. This may include verifying customer information, confirming accuracy of financial terms, and coordinating with the finance department for necessary approvals.
- Document management: Oversee the organization, storage, and retrieval of signed documents, maintaining a systematic approach to ensure all paperwork is properly filed, indexed, and easily accessible for reference and auditing purposes.
- Administrative support: Provide comprehensive administrative support to the General Manager, including managing calendars, scheduling appointments, arranging meetings, and handling correspondence, both internally and externally.
- Customer service: Collaborate with the sales team and finance department to ensure a seamless customer experience. Answer customer inquiries related to documentation and financing processes, providing accurate and timely information to enhance customer satisfaction.
- Compliance adherence: Maintain a thorough understanding of dealership policies, legal requirements, and regulatory guidelines related to document generation, funding, and customer privacy. Ensure all activities align with established protocols and compliance standards.
- Communication and coordination: Facilitate effective communication between various departments within the dealership, including sales, finance, service, and accounting, to streamline operations and resolve any issues related to document processing and customer financing.
- Process improvement: Identify opportunities for process enhancement and efficiency gains related to document generation, management, and retrieval. Proactively suggest improvements, contribute to implementing changes, and participate in training initiatives to enhance overall workflow.
- Confidentiality and data security: Handle sensitive customer information with the utmost confidentiality and adhere to data protection protocols. Safeguard customer records, ensuring they are stored securely and only accessible to authorized personnel.
- Stay updated: Stay abreast of industry trends, advancements in automotive financing, and changes in regulations or dealership policies. Continuously expand knowledge of Dealertrack software functionality and seek professional development opportunities to enhance skills and expertise.

**Requirements**:

- Dealership experience experience required (Minimum 1 Year)
- Enthusiastic, and Excellent customer service skills (written and verbal)
- Microsoft Office and Google Docs/Excel proficient
- DealerTrack Experience
- Strong attention to detail
- Strong interpersonal skills
- Valid Ontario G2/G Driver’s License.
- Knowledge of administrative and clerical procedures
- Knowledge of customer service principles and practices
