**Position: Administrative Assistant - Casual/Relief**

**Canada Summer Jobs (8 weeks)**

**Department: Immigrant Services**

**Hours**: Monday to Friday, 35 hours per week.

**Position Overview**:
This position is to provide reception services to Lethbridge Family Services and department specific administrative services to the Immigrant Services Department.

**Key Responsibilities**:
Responsibilities include:

- Provides Lethbridge Family Services staff and client base with timely, welcoming and respectful reception services, with a broad grasp of social services offered in the community, and proactive problem solving.
- Answers telephone and in-person callers promptly.
- Demonstrates courtesy and patience when dealing with organization clients and partners.
- Provides accurate information about the department and organization services.
- Completes all necessary client, department specific and organization documentation.
- Maintains confidentiality at all times.

**Administrative Assistant (Specific to the Immigrant Services Department)**
- Delivers accurate and timely administrative services to staff.
- Schedules client appointments for specific settlement staff in Microsoft Outlook calendars.
- Requests interpreters when required for settlement staff appointments and on client request.
- Assists in maintaining sufficient stationary and supplies inventory.
- Distributes, tracks and reports petty cash.
- Informs supervisor of anything relevant to above objectives.
- Maintains regular communication with supervisor regarding processes, procedures and safety in their position.
- Process LFS Outgoing Mail daily.

**Qualifications**:
**Meet Canada Summer Jobs Criteria**:

- Be between 18 and 30 years of age at the start of the employment.
- Be a Canadian citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act for the duration of the employment.
- Have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
- Strong attention to details and excellent communication and interpersonal skills.
- Proven high levels of proficiency in computer skills.
- Excellent time management, interpersonal and communication skills.
