EnergyXChange Group Inc. is an HR Consulting and Advisory Group. We are all things HR serving Canada and the US. Our client is seeking an Office Manager and Accounting Support professional for their office in Markham, Ontario.

About the Role

We are seeking an organized and detail-oriented Office Manager to join our team at our mid-sized construction company. The Office Manager will be responsible for overseeing the day-to-day administrative and operational functions of the office, ensuring efficiency and effectiveness in all office procedures.

**Responsibilities**:
Office Management:

- Manage office resources, including equipment, supplies (paper, kitchen supplies etc.), and inventory
- Maintain office services by organizing office operations and procedures, controlling correspondence, and designing filing systems. Critical in this role will be reviewing existing processes and recommending efficiencies leveraging existing technology and best in class task management.
- Maintain a safe and secure working environment for all office staff. Ensure essential health & safety standards are met throughout the office.
- Source, manage and order uniforms, swag and merchandise as needed and as approved by leadership.
- Manage website updates and marketing materials.
- Manage employee rewards such as birthdays, anniversaries and promote rewards and celebrations within the office and team.
- Liase with Human Resources and support essential HR activities as directed such as record keeping and implementing.
- Liase with IT and help troubleshoot phone, internet and systems issues.
- Ensure staff are following established procedures and work flows.

Finance & Accounting Support:

- Handle office-related financial tasks, such as Accounts Payables and Accounts Receivables. Serve as primary contact with Bookkeeper and Accountant. Support in check runs and send out.
- Communicate with vendors on pay terms and conditions.
- Support invoicing process, scanning and sending as necessary to various parties.
- Manage all company expenses ensuring utility and other bills are managed within designated process.
- Match Credit Cards and Receipts ensuring balances have back-up.
- Travel to bank primarily for deposits from time to time.

Supplier and Job Management Support:

- Qualify any sales that come in from the website or inside sales, and pass to appropriate sales people.
- Liaise with external partners, like suppliers, vendors, and clients, to ensure efficient office operations.
- Manage supplier relationships ensuring competitive prices, supplier products are up to date and negotiate prices.
- Issue PO's to trades and sub-trades.

**Requirements**:

- Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
- Strong technical knowledge
- Knowledge of office administrator responsibilities, systems, and procedures and experience developing efficiencies.
- Proficiency in MS Office and MS 365 (MS Excel and MS Outlook, Teams, in particular)
- Knowledge of Quickbooks online, Knowify, and VOIP, a strong asset.
- Excellent time management, organizational, and multitasking abilities
- Strong communication and interpersonal skills
- Problem-solving attitude with an eye for detail
- Proactive doer with a willingness to learn new skills, try new work and open to various tasks in a small to mid sized company.
- Experience in Construction or adjacent field a plus.
- Bachelor's degree in business administration or relevant field is a plus.
