Position Overview:
**Responsibilities**:
Calendar Management: Coordinate and manage schedules, appointments, and meetings for executives and team members. Ensure all events and deadlines are tracked and well-communicated and assist team members with calendar items.

Document Preparation: Prepare and edit documents, reports, presentations, and other materials. Ensure accuracy, consistency, and confidentiality in all documents.

Office Coordination: Oversee day-to-day office operations, including ordering office supplies, coordinating maintenance services, maintaining schedules, and ensuring a clean and professional work environment.

Communication: Act as a liaison between departments, clients, and partners. Handle inquiries, requests, and correspondence in a timely and professional manner.

Data Entry and Records Management: Maintain accurate and up-to-date records, databases, and spreadsheets. Perform data entry tasks with precision and attention to detail.

Meeting Support: Organize and facilitate meetings, take meeting minutes, and distribute them to relevant parties. Arrange conference rooms, equipment, and refreshments as necessary.

Expense Management: Process and track expense reports, ensuring compliance with company policies and timely reimbursement.

Event Planning: Assist in planning and executing company events, workshops, and team-building activities.

Government Reporting: Assist in the preparation and filing of government remittances and preparing documents for client audits and examinations.

Light Bookkeeping: Light bookkeeping duties including posting receipts and bills to Quickbooks Online, receiving client payments, and other duties as needed.

Qualifications:
High school diploma or equivalent; additional education or certification in office administration is a plus.

Proven experience as an administrative assistant or in a similar role.

Strong written and verbal communication skills, with excellent attention to detail.

Exceptional organizational and time-management abilities.

Ability to prioritize tasks and work under pressure to meet deadlines.

Self-motivated with a proactive and positive attitude.

Demonstrated ability to handle sensitive information with confidentiality.

Strong problem-solving skills and ability to anticipate needs.

Excellent interpersonal skills and the ability to work well with diverse teams.
