**FHT/IHP Administrative Assistant Position**

**Position Overview**:
The FHT IHP Administrative Assistant’s primary function is to assist the Executive Director in support of the Interdisciplinary Health Professionals, to achieve the vision, mission and goals of the Markham Family Health Team. The FHT IHP Administrative Assistant also liaises with physicians, staff and other team members; as well as external stakeholders.

**Accountability**:
The FHT IHP Administrative Assistant reports to the Executive Director and will perform functions and provide administrative support for the IHP staff and the Clinical Program Manager (or other management staff as assigned).

**Duties and Responsibilities**

Organizational Support:

- Liaise with all staff and physicians regarding the efficient internal workings of the FHT
- General administrative duties to include but not limited to typing memos, notes, photocopying etc.
- Confirm appointments for IHPs as assigned
- Follow up with Admin staff assigned to assist with IHP appointments for any questions, support, etc.
- Assist IHPs in gathering information and compiling reports
- Provide administrative support to the Psychiatrists for triaging, patient booking, check in, generating appropriate tasks etc.
- Manage waitlists for the Psychiatrists, providing updates to patients and monitoring urgency/levels
- Inputting schedules and templates in Accuro for IHPs
- Assist in the MOA role in the event of staff shortage
- Responsible for ordering office supplies for IHPs, upper and lower Church St. offices
- Coordinate/resolve maintenance issues for upper and lower Church St. offices
- Communicating IHP updates to the MD team and to patients
- Attend meetings and training as required
- Arrange meetings, conferences, catering and coordination of IHP schedules/booking off
- Arrange Zoom and Program invitations for Social Work groups, My Best Weight and Health 50/65+ sessions
- Coordinate special events for IHPs
- Handle communication, travel arrangements, processing related functions and documentation
- Follow up on action items as assigned:

- Registering patients with IHPs
- IHP meetings
- CCG
- Other meetings as assigned

**Qualifications and Requirements**

Education and Experience:

- 3 years previous related working experience preferred
- Education in medical and/or office administration is an asset

Skills and Knowledge:

- Knowledge of Electronic Medical Records (EMR) systems specifically Accuro
- Excellent written, verbal and electronic communication skills
- Excellent organizational, time & office management, problem solving and interpersonal skills
- Ability to demonstrate good public relations with staff and external partners
- Well-developed customer service skills with the demonstrated ability to work collaboratively within the team
- Ability to prioritize and work well within a deadline driven environment
- Capability to work with mínimal supervision
- High degree of accuracy and attention to detail for EMR system and internal communications
- Exercise good judgement and shows a willingness to take on new challenges

Markham Family Health Team offers a competitive compensation package in alignment with Ministry of Health and Long-Term Care rules for this position. The compensation package includes enrollment with the Healthcare of Ontario Pension Plan (HOOPP).

**Job Types**: Part-time, Fixed term contract

**Salary**: From $20.00 per hour

Expected hours: 15 - 20 per week
