**What will you be doing as the Special Events Coordinator?**

The Special Events Coordinator works closely with Pride Toronto's Programming and Events Manager to ensure the flawless execution of events throughout the Toronto Pride Festival. Based on the nature of this role, the Special Events Coordinator may need to work weekends and evenings outside of regular work hours to support events planned throughout May and June.

All Pride Toronto Summer Students must be available to work Pride Festival Weekend (June 23-24-25). Pride Festival Weekend is full of performances, art and parades celebrating the 2SLGBTQI+ communities. No matter their role, all members of the Pride Toronto team support the Pride Festival through various operational and programming tasks that ensure the events are safe, fun, and memorable.

**Other responsibilities include**:*
- Assist in administration for the Programming and Events department for specific projects and streams as assigned by the Programming and Events Manager and Director of Operations.
- Assist in organizing facilities and event details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc.
- Work closely with other departments to ensure a successful festival.
- Proactively handle any issues and troubleshoot any emerging problems assigned to you.
- Assist the Programming and Events Manager and Director of Operations with all elements of advancing documents, including contractual obligations, contract review, tech rider review and confirmations, artist obligations (social media posts)and creative requirements.
- Day of Event assistance for year-round Pride Toronto Signature Events, Major Cultural Events and Affiliate Events, including but not limited to: Programming Launch, Pride Month Launch Party, Cabana Pool Party and Til Sunset.
- Facilitate artist’s contractual hospitality needs including transportation, accommodations, food requirements, working directly with the Programming and Events Manager.
- Ensure that all green rooms, and applicable hospitality requirements, are set up prior to Artist arrival at venues.
- Coordinate artist accreditation for the Festival Weekend.
- Assist with volunteer management for the teams that fall under the Programming Department.
- Ensure following all Covid19 safety protocols.
- Always represent Pride Toronto in a positive manner.
- Other tasks as assigned.

**What are we looking for?**

Qualifications and skills required of the role.
- Youth between 15 - 29 years of age (by the end of the contract)
- Minimum one year of customer service experience
- Highly organized and experienced with MS Office, Google platform
- Strong communication skills
- Commitment to environmental sustainability
- Knowledge and understanding of the 2SLGBTQI+ community
- Demonstrated administrative background
- Excellent verbal and written communication skills required
- This position requires you to work from our office Mondays to Fridays either between 9:00am-10:00am or 10:00am-6:00pm.
- Flexibility to work evenings and weekends as needed for meetings and events (lieu time provided to be provided for hours worked)
