**Secretary, Therapy Services/Audiology**

In accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position. Performs secretarial and administrative duties such as tying of a variety of materials, patient reception and patient booking, taking and transcribing minutes of meetings, compiling departmental statistics, and arranging meetings - utilizing computerized equipment, and in accordance with established policies, standards and procedures.

**What you’ll do**
- Performs secretarial duties such as arranging meeting and appointments for department staff, receiving and distributing incoming mail, and composing routine correspondence for signature.
- Transcribes/types a variety of material such as articles for publication, scientific papers, schedules, duty rosters, teaching materials, memorandums, reports and confidential correspondence utilizing computerized equipment.
- Books outpatient clinic appointments, receives referrals and enters/retrieves patient information on computer.
- Prepares the pre-admission paperwork for and registers clinic patients utilizing the hospital Admit/Discharge/Transfer computer system. Requests patients’ charts for clinics.
- Distributes transcribed patient reports within the hospital and to external agencies and physicians’ offices.
- Attends departmental meetings to record proceedings, prepare minutes/reports and agenda and takes follow-up action as a result of such meetings.
- Compiles statistics, bibliographies and reports to assist professional staff in research studies. Prepares slides and abstracts for presentations.
- Maintains the departmental policy and procedure manual by typing new policies and revisions to existing ones, and distributing to departmental manuals.
- Answers telephone inquiries, takes messages and re-directs calls. Places calls when requested. Received patients and visitors and directs to appropriate area.
- Maintains timesheets for Department Head’s authorization and submits to Payroll.
- Maintains workload measurement data and staff attendance statistics.
- Completes requisitions for departmental stationary supplies, maintenance requests, purchasing and printing requests for authorization by Department Head.
- Prepares paperwork for staff attending courses sponsored by the department, and tracks education requests and fund usage from related funding sources.
- Performs other related duties as assigned.

**What you bring**

**Qualifications**:

- Grade 12, graduation from a recognized secretarial program, including recognized course in medical transcription and three year’s recent related experience or an equivalent combination of education, training and experience
- Ability to keyboard at 60 w.p.m.
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Ability to organize work.
- Ability to operate related equipment.
- Physical ability to carry out the duties of the position.
