Job Summary:
Join our team as a Corporate Secretary Administrator and be at the heart of provides efficient, confidential administrative services to the Office of the Corporate Secretary. As a key part of our team, you will act as a first line of contact for Corporate Secretary team and liaises with external contacts and various internal contacts at Central 1.

What you'll be doing:

- Organize Member, Board and related committee meetings including coordinating meeting calendars and agendas, arranging meeting rooms, catering, travel, accommodation etc.
- Prepare and distribute material for Member, Board and related committee meetings including drafting agendas, minutes, papers, resolutions etc.
- Prepare, edit, and format various corporate and legal documents, correspondence, reports, forms and spreadsheets based on written and/or verbal instructions.
- Process directors’ expense reports and maintain log of directors’ expenses. Managies external invoices related to the Corporate Secretary function.
- Assists in maintenance of corporate records of Central 1 and its subsidiaries.
- Establishes administrative systems and processes, ensuring effective and efficient organization of the Corporate Secretariat’s work, providing day to day administrative support to the team.
- Handles contract requests and execution of contracts via DocuSign.
- Handles confidentiality agreement requests and execution thereof via DocuSign.
- Maintains the Corporate Secretary team’s filing system and file list.
- Assist in co-ordination of Central 1’s annual general meetings and other events.
- Works with the Corporate Secretary function to handle general departmental inquiries and assist in duties performed by the Assistant Corporate Secretary in their absence.
- Such other duties required from time to time.

What you'll have:

- Graduate of an accredited LAA program, with 3+ years related experience in a legal environment as an LAA or a corporate records clerk. Large firm or public company experience is a plus.
- Strong interpersonal skills including an ability to exercise tact, judgement and discretion in interacting with a wide variety of people and organizations.
- Strong ability to administer multiple workstreams, competing for priorities while adhering to strict deadlines.
- Strong capabilities in Microsoft Office (Word, Excel and PowerPoint), Experience with Diligent software is an asset.
- Ability to establish priorities, schedule work and meet deadlines using independence, organization, initiative and good judgment.
- Ability to conduct research, prepare meeting materials and reports, and take minutes of a moderately complex and sometimes technical nature.
- Proactive approach and positive attitude.
- Ability to facilitate the resolution of a variety of multi-dimensional and contentious situations with diplomacy, confidentiality, tact and good judgment.
- Excellent oral and written communication, customer service and interpersonal skills.
- Some understanding of accounting and the budgeting process.
- Mastery in English grammar, spelling and punctuation.
