University Health Network (UHN) is a research hospital affiliated with the University of Toronto and a member of the Toronto Academic Health Science Network. The **Research Administrator III** routinely performs functions relating to the operations of research facilities. Responsibilities include a wide variety of equipment selection, coordination of installation and maintenance; implementation of facility renovations and relocations; responsible for ensure facility access controls are in place; and health and safety compliance with respect to research programs. In addition the Coordinator is responsible for liaising with hospital service departments such as Plexxus, Security, Shared Healthcare Supply Services, Occupational Health and Safety, and Environmental Services.

**Responsibilities**:

- Follows departmental procedures and recommends changes to work processes. Creates and maintains filing systems and monitors efficiency. Initiates changes and updates to work manuals and procedures for own area.
- Monitors and analyzes departmental/lab grant budgets (e.g., drafts budgets for approval; monitors and analyzes accounts, identifies variances).
- Plans/coordinates high-profile onsite or offsite events with time lines that range from weeks to months in advance. Typically reproduces established events but may create such events from scratch. Planning requires coordination and input from multiple stakeholders. Responsibilities include: marketing, registration, catering, technology, venue, speakers, domestic and international travel arrangements (including visas if applicable, hotel accommodations, etc.) and itineraries for individuals and groups.
- Proactive and independent management of calendar using diplomacy given nature of contacts such as internal and external senior leaders and prioritization of competing demands.
- Plan and coordinate for assigned personnel attending conferences and off-site events by organizing travel arrangements, accommodations, event registration, preparation of meeting materials and submission of expense reports.
- Participates in departmental and/or UHN-wide committees as required or requested.
- Coordinates all the Research requirements from various lab departments (i.e., contracts, authorizations, signatures, support letters, grants, CVs, etc.)

**Qualifications**
- At minimum a Science/Engineering diploma; a Bachelor’s degree or equivalent preferred
- Minimum 4 years related experience required
- Experience with operations of Research Lab equipment an asset
- Knowledge related to electrical/mechanical lab equipment
- Project management skills
- Strong understanding of research laboratory facility and equipment requirements
- Strong competency in Microsoft Office
- Strong organizational and problem-solving skills
- Strong focus on customer service; excellent interpersonal skills
- Ability to work independently and as part of a team
- Excellent verbal and written communication skills
- Excellent interpersonal skills
