Engineered Air is seeking a dynamic, results oriented individual to fill the role of Administrative Assistant for our Toronto Sales Office. Engineered Air is looking for an individual desiring a long-term employment opportunity. Engineered Air offers remuneration packages that include industry competitive salary and benefits.

**RESPONSIBILITIES**:

- Answer and transfer telephone calls to the appropriate individuals.
- Greet customers and offer support to meet their needs.
- File orders, reports and other files as required.
- Order entry and tracking of submittal drawings, approvals, and production schedules
- Attend sales team meetings, update weekly sales reports.
- Update and maintain sales opportunity and tracking reports.
- Assist with - Review of submittal drawings and compare to order entry for accuracy and discrepancies.
- Maintain and order office supplies as needed.
- Prepare and drop off bank deposits.
- Maintain customer files and records.
- Manage office calendars including salesperson daily meetings and board room bookings
- Other duties as assigned.

**EXPERIENCE REQUIRED**:

- Minimum 3+ year’s administration experience in a multi-person office setting.
- Experience handling a multi-line phone system is a must.
- Knowledge of reviewing submittal drawings for accuracy and report discrepancies would be an asset.
- Ability to create and automate data entry and retrieval from within Excel or other Microsoft programs is a requirement.

**SKILLS REQUIRED**:

- Advanced skill level in Microsoft Word, Excel, and Outlook is required.
- Must possess a high level of verbal and written communication skills.
- Strong organization skills and attention to detail, with a great level of accuracy.
- Should be a team player and have the ability to work independently.
- Strong customer service skills are a must.
