**General Accountability**:

- Provides general administrative and clerical activities associated with technical drawing specifications, correspondence and other documentation processed by the Signals section of the Signals/Electrical/Communications (S/E/C) Department.**Key Job Functions**:

- Perform a variety of document control and administrative duties as assigned to support the work of the Signals team
- Maintain a library of drawings, specifications, manuals and other technical information related to signal systems and related signal equipment
- Coordinate the maintenance of files consisting of information on problem reports, projects, and solution proposals
- Perform regular audits for evaluating the design and functionality of the document management systems, and making recommendations for improvements
- Respond to internal and external documentation requests in a timely manner
- Deliver documents to field locations and various job sites
- Prepare a variety of general and confidential correspondence, memos letters, reports, etc.
- Maintain records associated with APTA or similar audits
- Maintain complete records of signal circuit changes, shop drawings and signals change notices
- Create, prepare, and update various databases relating to projects, and generate associated status reports
- Responsible for the section's system contract ordering and tracking
- Substitute for other clerical staff in the section during periods of absence
- Perform timekeeping entries into Maximo and OARS
- Input data into various databases and networked files, and generate reports
- Participation in the TTC's Customer Service Ambassador Program
- Demonstrates behaviours that support diversity, inclusion, and a respectful work and service environment that is free from discrimination and harassment. **Skills**:

- Plan and organize activities / projects to meet section and organizational goals
- Create, document, and manage information and records
- Maintain documentation and historical records

**Education and Experience**:

- Completion of secondary school education (or equivalent) or a combination of education, training and experience deemed to be equivalent.
- Post-secondary education in a relevant discipline is an asset.
- Records management training and experience would be considered an asset.
- Requires a few years of similar or related experience.

**Additional Requirements**:

- Knowledge of signal circuitry, nomenclature, and principles
- Good knowledge of modern office practices and procedures and equipment
- Good word processing skills combined with a good knowledge of grammar, punctuation and spelling
- Good organizational skills in order to handle changing work priorities and meet specified deadlines
- Good interpersonal, oral and written communication skills for dealing with TTC staff at various levels
- Monitoring and reporting procurements by the section
- Will be required to obtain and maintain Subway/SRT Rule Book certification
- A valid, non-probationary Class “G” Ontario Driver’s licence
