Reporting to the Manager, Volunteer Programs, the Volunteer and Philanthropy Coordinator is responsible for assisting with the overall management and administration of Volunteer Programs and Philanthropy initiatives. Responsibilities include, but are not limited to, administrative tasks relating to volunteer information, supporting the execution of volunteer programs, promoting volunteer opportunities to the public, and assisting with philanthropy initiatives while maintaining a positive image of the organization to the community. This position works closely with the Philanthropy team.

**DUTIES AND RESPONSIBILITIES**

Volunteer Engagement
- Assist with the recruitment, onboarding, supervision and support of volunteers in delivery of Dixon Hall’s programs and services.
- Assess skills, abilities and interests of volunteers to determine assignments to meet the needs of programs/staff and support meaningful engagement for volunteers.
- Maintain accurate records about volunteer and project progress while working with managers to ensure needs are being met and to help address any issues that arise.
- Develop a tracking system for volunteers including schedules, hour tracking and contact database.
- Support the planning, coordination and delivery of agency wide volunteer appreciation events.
- Participate in cross organizational committees, and ad-hoc projects such as fundraising and special events.
- Initiate criminal background checks for new volunteers.
- Act as a staff resource for volunteers and coordinate all volunteer activities.
- Assist with the continuing development of the volunteer program.
- Identify strategies to increase volunteer engagement for individuals, agencies, and corporate groups including new and/or expanded roles and opportunities.
- Create and maintain an environment in which staff and volunteers can participate and deliver high quality service that is responsive to the needs of clients and the community.
- Support the administration of Agency Service Award and Staff Day programs.
- Foster an environment of collaboration, information sharing, and proactive support in dealings with staff, volunteers, clients, and members.

Philanthropy
- Assist the Philanthropy team to develop and execute stewardship initiatives and strategies to ensure an excellent donor experience for current and prospective donors and supporters.
- Participate in all fundraising activities, including sponsorship, gift-in-kind solicitations, silent/live auctions, and other revenue generation activities.
- Assist with developing a donor pipeline by organizing and conducting a target number of calls and meetings and determining appropriate engagement strategies for different audiences.
- Provide regular reports to the Philanthropy team and other stakeholders on donor engagement and fundraising outcomes.

**QUALIFICATIONS**
- Post-secondary education in Volunteer Management, Social Services, Community Development, or a related field.
- Minimum of two (2) years of related experience in a volunteer management or administrative role.
- Knowledge of fundraising principles and strategies.
- Strong attention to detail and commitment to quality.
- Excellent written and verbal communication skills.
- Demonstrated listening, consultation and conflict resolution skills.
- Strong critical thinking, problem solving and analytical skills.
- Excellent time management and organizational skills with a proven ability to manage multiple projects, achieve results, work under pressure and meet tight deadlines.
- Ability to handle confidential material and situations with professionalism, sensitivity, and discretion.
- Strong verbal and written English language communication skills; fluency in additional languages will be considered an asset.
- Good knowledge of MS Outlook, Word, and Excel.
- Experience working with volunteers and community partners.
- Experience in community engagement and outreach is an asset.
- Must be qualified to work in Canada legally for the employer.
- Able to provide a Vulnerable Sector Screening check with a ‘Clear’ or satisfactory result that meets the operational requirements of the Agency.
- Must have up-to-date vaccinations on COVID-19 with a vaccine that has been approved for use in Canada.
