**Executive Assistant, Secretary to the Board and Policy Coordinator**

The Alberta Motor Vehicle Industry Council (AMVIC) is Alberta’s automotive industry regulator. AMVIC is a public agency accountable to the Minister of Service Alberta and Red Tape Reduction and the Government of Alberta. AMVIC protects consumers and industry from unfair practices in the automotive business industry. Consumer protection and a fair marketplace are achieved through AMVIC-managed mandatory licensing for automotive businesses and salesperson registrations as required by the _Consumer Protection Act_. AMVIC works to uphold industry standards through education of licensees and consumers.

This position reports to the Chief Executive Officer. The position resides in the Edmonton office and requires daily attendance Monday to Friday. This contract position will have the flexibility to work both in the office and telecommute as required. On occasion overtime may be required to meet job demands with prior approval from CEO.

**Responsibilities**

**Secretary to the Board**:

- Schedule AMVIC Board and Committee meetings.
- Coordinate pre and post meeting logistics.
- Record, transcribe and deliver meeting minutes.
- Coordinate the nomination process for new Board members.
- Maintain positive working relationships with Board members.
- Ensures AMVIC bylaws and policies are kept current by working with the AMVIC Board and Executive.

**Executive Assistant to the CEO**:

- Prepare correspondence, reports, proposals and other documents as requested.
- Maintain the records management system.
- Coordinate appointment schedules and travel arrangements.
- Coordinate logistics for meetings, hearings and other events.
- Respond to inquiries made to the CEO’s office.
- Establish and maintain positive working relationships with consultants, suppliers, and staff at the Motor Dealers Association (MDA), Canadian Independent Automotive Association (CIAA), Recreational Vehicle Dealer’s Association (RVDA), Alberta Automotive Recyclers and Dismantlers Association (AARDA) and Alberta Auctions Association (AAA).

**AMVIC Office Administration**:

- Act as FOIP Coordinator and be responsible for the overall management of access to information and protection of personal information with a public body.

**Bylaw and Policy Coordination**:

- Reviews board bylaws and policies.
- Moves new policies and bylaws forward to ensure they are updated or added appropriately.
- Maintains a record of board policies and bylaws.
- Reviews the Service Alberta Operational Reviews and establishes a process to ensure all deficiencies in the operational report are addressed.
- Other duties as assigned.

**Qualifications and technical skills**
- Successful complete of post-secondary education in Office Administration, Administrative Professional, or Legal Assistant; or with a combination of education and at least 5 years of related administrative work experience.
- Advanced proficiency in Microsoft Office Suite and Adobe Acrobat Pro.
- Ability to perform administrative, assistant and clerical duties with deliberate speed and accuracy without immediate and constant supervision.
- Rules of order for meetings.
- Relevant legislation in particular Alberta’s Consumer Protection Act and Regulations
- Ability to prioritize and organize multiple and varied duties with mínimal direction.
- Strong verbal and written communication skills.
- Strong computer skills.
- Attention to detail.
- Strong minute-taking and minute transcription skills.
- Strong inter-personal skills.
- Ability to act independently within established policy guidelines.
