**PART-TIME Front Desk Administrative Assistant**
We are seeking a reliable, self-starter to join our brokerage team in a Part Time, On-site capacity. As a Front Desk Administrative Assistant, you will be the first point of contact for our agents and clients alike
Within the administrative assistant role, you will be the first point of contact for our clients and real estate agents, providing exceptional customer service and ensuring a positive brokerage experience. Your role will involve various administrative and clerical tasks to support the smooth operation of our brokerage.
You must have great attention to detail and be a team player. No real estate background is necessary if you are eager and willing to learn. Systems and procedures can be taught, good people skills and a go-getter mentality can't be.
**Reception and Administrative Support**:
- Greet and welcome clients in a friendly and professional manner
- Process deposit and rent payments and maintain accurate transaction records
- Distribute mail and packages to the appropriate parties
- Assist in broker-loading listings on TREB as requested
- Listing maintenance and processing in Matrix
- Provide support services to the Agents (forms, technical, etc.) and seek opportunities to
- assist agents.
- Copy, file, and maintain paper or electronic documents and records
**Communication**:
- Handle incoming and outgoing calls - multiple lines
- Answer the phone and redirect calls as necessary
- Page agents and brokerage staff quickly and efficiently
- Book and manage showing appointments
**Office Maintenance**
- Make sure the office is kept clean, tidy, garbage-free, and well organized; this is in the form of opening and closing duties, as well as proactive upkeep throughout the day.
Shifts will be primarily Noon-6:00pm; 1:00pm - 6:00pm and 3:00-6:00pm. Saturday shifts are from 9:00 am - 4:00 pm, with an expectation of working at least 2 Saturdays per month. You should be available to come in for training during the day (9:00 am - 4:00 pm) during the first 2 weeks. You will be scheduled as needed after that time.
