A Brief Overview
Reporting to the Department Manager, the Graduate Coordinator is responsible for supporting the strategic management and daily administration and operation of the graduate programs in the Department of Political Studies and School of Policy Studies. This position apprises and advises the Graduate Chair (Political Studies), the Director of the School of Public Policy, and the Department Manager (Political Studies and School of Policy Studies) on all matters concerning graduate programs. The Graduate Coordinator serves as the primary liaison for graduate students between the School of Graduate studies and the Office of the University Registrar.
Responsibilities include but are not limited to overall graduate program operations, graduate program promotion, graduate awards, graduate funding, graduate program planning and coordination, teaching assistant (TA) and Graduate Research Fellowship (GRF) coordination. The Graduate Coordinator functions with an exceptional level of accuracy, excellent judgment and efficiency. This position is visible and contributes to the overall effectiveness and reputation of the Department of Political Studies and the School of Policy Studies. This role is responsible for providing administrative support to senior staff and assists with key sections of external reports/reviews and professional accreditation reviews.
This position is the first point of contact on graduate-level academic support matters within the Department of Political Studies and the School of Public Policy for students, prospective students, faculty and staff. This position advises students on academic program planning, course selection, program completion requirements, faculty regulation and policies and procedures. The position also provides key program administrative support in areas such as recruitment planning and events, admissions, academic calendars, class lists, graduation and convocation.

**Job Description**:
What you will do
Provides academic advice to students including degree requirements, course selection, transfers, timetabling, withdrawals, and regulations.
Monitors academic progress requirements including tracking academic records, transfer credits, and facilitating individual student study plans.
Acts as a resource to faculty including explaining policies, procedures and student progression. Recommends changes to policies and procedures for improvement of department services.
Prepares degree lists.
Provides referrals to additional resources.
Refers special academic issues including academic integrity and grievances to the Director and/or Chair.
Coordinates and/or attends events including recruitment events, workshops, webinars, information sessions, presentations and/or ceremonies.
Directs, allocates, and supervises the work of other staff.
Schedules exams or tests, including supplemental exams, rewrite exams and/or language proficiency tests.
Creates the annual departmental calendar including critical tasks, deadlines, sessional dates and special events.
Participates as a member of various committees.
Forecasts course enrollments.
Coordinates and submits curriculum proposals, changes to the academic calendar, and/or timetabling requests.
Other duties as required in support of the department and/or unit. Required Education
Four-Year Bachelor Degree or equivalent. Required Experience
More than 3 years and up to and including 5 years of experience.
Experience with providing administrative support considered an asset (e.g., document editing, proofing, formatting and production, data entry, scheduling/coordinating meetings and/or travel arrangements, receiving/relaying messages, etc.). and
Experience advising students considered an asset. and
Experience working with diverse populations/equity deserving groups considered an asset. and
Knowledge of relevant laws, regulations, policies, standards and/or guidelines considered an asset. and
Experience in client and/or customer experience functions considered an asset. and
