As the Office Manager, you will play a pivotal role in ensuring the smooth and efficient operation of our Immigration and Settlement Service. **Responsibilities**:

- Oversee the reception team and ensure the smooth operation of daily office activities.
- Manage incoming and outgoing mail and courier services.
- Maintain a welcoming and safe reception area, greeting and directing clients, staff, volunteers, and visitors.
- Handle incoming phone calls, screen, and forward as necessary.
- Monitor and maintain office security, including operating the Intercom system.
- Submit work orders for building maintenance.
- Coordinate technical support and supplies for office printers and scanners.
- Maintain knowledge of external stakeholders and community partners to facilitate client referrals for services not offered in-house.
- Respond to inquiries, provide administrative support, and manage office interactions.
- Coordinate and manage office supplies and vendors.
- Supervise administrative staff, including performance appraisals, coaching conversations, and hiring assistance.
- Maintain confidentiality and act with discretion to protect agency interests.
- Participate in team meetings and support team initiatives.
- Perform other related duties as required.

**Requirements**:

- Diploma/Degree in Business Administration or related discipline.
- Proven experience as an Office Manager; minimum 5 years’ professional experience in office administration.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
- Hands-on knowledge and experience with office equipment (i.e., telephone, paging systems; printers; fax machines; Intercom; etc.)
- Strong attention to detail and accuracy in tasks.
- Exceptional communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive problem-solving and decision-making abilities.
- Knowledge of office management best practices and procedures.
- Ability to speak another language in addition to English is an asset.
