As the Owner Relations Manager you will be the primary contact for owners, handle owner relations and provide support where necessary to the strata/owner’s council, strata management, realtors and all departments of the hotel. Provides administrative support to the General Manager.

**Position Requirements**:

- Complete and confirm all owner reservations including inputting into LightSpeed system
- Review owners personal use reservations and understand their requirements.
- Remind owners about deadlines for priority date bookings.
- Knowledgeable on the RMOW Phase 2 Restrictive Covenant applicable to owner units
- Accountable for the owners website, ensuring up to date with required postings
- Deals with any owner issues, questions, or concerns and responds to owner enquiries within 48 hours
- Liaise with strata/owners council where necessary
- Liaise with strata manager where necessary
- Liaise and act as an intermediary between owners and hotel departments
- Accurate owner locker key tracking and safe keeping

**Skills & Experience**:

- Experience working in a BC strata system an asset
- Previous experience in a similar role in a similar size/type of property preferred
- Familiarity with the real estate transaction process an asset
- 4 Star+ hotel experience preferred
- Good knowledge of whistler area and available services
- Strong organization, administration and planning skills
- Strong working knowledge of Microsoft office - Word, Excel, PowerPoint, Outlook

**General Requirements**:

- Prepare owner, GM flagged VIP’s, welcome cards and amenities (excluding sales and SPG VIP’s)
- Inspect owner room arrivals on weekdays. Follow-up with housekeeping or maintenance where necessary.
- Assign rooms to incoming reservations following all requirements of the HMA and the Phase II Covenant
- Check owner’s website for accuracy of postings and information available to owners
- Update Reservation Calendar Management on owner website to reflect owner pool availability.
- Attend daily OP’s Meetings
- Other daily, weekly, monthly duties as assigned.
- Inform Housekeeping Managers of owners arriving and set up amenities for the bellmen to deliver over the weekend.
- Check owner’s website for postings of statements, strata minutes, meeting notices and other information as required by Hotel Management Agreement and Strata By-Laws
- Post owner related communications on the website as needed and required.
- Between 25th and 30th of month, mail cheques and notification to Owners not set up for electronic deposit.
- Reconcile owners’ usage between LightSpeed and website. Provide explanations for any discrepancies.
- Produce and distribute seasonal owners’ newsletter with direction from General Manager
- Attend Owners/Strata Council meetings.
- Attend meetings and scribe minutes from the General Manager as requested.
- Upload the monthly Hotel Financial Package and the Hotel Commentary
- Prepare NR4 statements.
- Follow up with units in deficit.
- Other duties as assigned
