VT Controls Ltd. is a growing company needs a reliable, organized Bookkeeper/Office Administrator to manage the bookkeeping and clerical tasks in our office as a vital contributor of running the business.

**Responsibilities**:
Reception duties:

- Greet and welcome visitors
- Answer phones and transfer the lines as needed
- Maintain the office by ensuring the kitchen and common areas are tidy
- Responsible for kitchenette supplies (snacks, coffee, tea, sugar, etc)
- Check the mailbox daily
- Handle petty cash expenses
- Responsible for receiving and sending mail and parcels
- Deposit cheques as received
- Track and order supplies and equipment as needed

Office Administrative duties:

- Maintain organizational procedures and systems for office personnel, including filing physical and electronic documents, and permanent files
- Create and update administrative manuals
- Prepare customer compliance documents (Certificate of Insurance, WSIB, forms, agreements)
- Support management by providing administrative support
- Provide administrative support to other units within the organization
- Follow company-set policies, process and procedures
- Other Office Administrative duties as assigned

**Qualifications and Requirements**:

- Associate degree required (B.A. or B.S. preferred)
- 1-2 years Office Administration and Reception experience and knowledge
- Previous experience in Construction Industry considered an asset
- Previous experience with Wrike and DropBox
- Willingness to learn a new system (Wrike)
- Proven ability to work in a team and adhering to tight deadlines
- Good data entry skills and attention to detail
- Proficiency in Microsoft Office suite
- Advanced computer skills
- Document Management and organization experience
- Supply management experience
- Strong work ethic and reliability
- Excellent written and verbal communication skills

**Salary**: $18.00-$20.00 per hour
