Edmonton, Canada Altex Industries Inc Full time

Altex Industries is looking for **Site Administrators** based on a basis in Northern Alberta to support our Maintenance turnaround Team. The schedule may start with 4 days on site with 3 days off working 10 hours a day during pre-Job and 6 days with one day off working 12 hours a day during turnaround. Flight (from Calgary & Edmonton) and camp will be provided. Proper training will also be provided in Altex main office before going to site.

In close cooperation with the home office Admin and Site Project Manager, the Field Site Administrator will book flights and camps, reconcile timesheets, submit reports, timesheet processing, payroll reconciliations, daily reporting, file maintenance, creating and submitting daily LEMs and billing.

**Major Areas of Duties and Responsibilities**:

- Create, review, and submit manpower requests to appropriate union hall(s)
- Responsible for being first point of contact for dispatched craft from union halls & non-union personnel
- **Onboarding** new hires, collect and ensure that all site personnel have all required documentation and training prior to arrival on site
- Schedule pre-access Alcohol & Drug testing for all new site personnel
- Submit dispatched craft & new non-union personnel to CNRL Security for site clearance
- Coordinate travel (charter flights) and camp accommodations for site personnel using CIRYS (Travel Management program)
- Review daily timesheets for accuracy, reconcile to swipe reports.
- Coordinate with main office & field supervision for any payroll discrepancies and adjust
- Produce daily reports - DFR’s, CDR’s
- Produce daily LEMs
- Ensure payroll timesheets & LEMs are audited, reconciled, and submitted accurately and efficiently by the set deadline(s).
- Reconcile payroll hours and LEMs to ensure accuracy
- Issue Swipe card to employees
- Assist Project Manager with any incoming requests.
- Create Overtime Request Forms, as required
- Travel Assistance Program (TAP) - track, if applicable

**Required Skills and Abilities**:

- A high degree of confidentiality, diplomacy, ability to manage confidential and complex information and handling multiple tasks under strict deadlines is necessary
- Ability to work well under pressure and manage multiple projects. Organizational skills including aptitude for time sensitive numerically driven tasks.
- Ability to multi-task and strong attention to detail
- Ability to work with a high degree of accuracy and maintain confidentiality
- Ability to communicate effectively verbally and in writing
- Ability to work well with people at all levels and from multiple cultures
- Strong analytical skills and technical knowledge and problem-solving abilities
- Exceptional organizational and time management skills
- Must thrive in a fast-paced environment and have the ability to manage multiple tasks, prioritize work and exercise initiative to ensure high quality service
- Motivated, energetic, self-starter, ability to take control, professional and reliable

**Education/Certification and Experience**:

- Post secondary education in accounting with a minimum of 5 years of Site Administrative and accounting (payroll) experience, or suitable professional certificate with a minimum of 8 years of experience.
- Minimum of 5 years of onboarding new hires, collecting safety tickets, booking camp room
- Experience with Union Collective agreements is an asset
- Must have WHMIS 2015, CSTS-09 or CSTS-2020

**Work Environment**:
The work environment for this job is demanding as Site Administrators are primarily based in the field.
