**Position Summary**

Provides administrative support to the organization by obtaining, analyzing and verifying the accuracy of order information in a timely manner, both sales orders and purchase orders. Initiates and/or implements corrective action as needed in order to ensure that an excellent standard of service and a high level of customer satisfaction are maintained. Assist with Accounts Receivable Collections and processing/verifying purchase orders. Co-ordinates the handling of difficult and or/unusual situations.

**CORE FUNCTIONS**:

- Reviews and directs incoming correspondence, phone calls, and initiates responses.
- Perform clerical and administrative tasks including new order entries, shipping documents.
- Process and reviews supplier purchase orders to ensure accuracy. Follow up on delivery dates and statuses of orders as needed.
- Create packaging slips for various deliveries.
- Receives, processes and verifies the accuracy of purchase orders and invoice tracking.
- Create project spreadsheets to track installed and delivered materials
- Invoicing, inventory control, reports, filing, maintaining records, ordering supplies, expense reports, and timely invoice payments.
- Initiates required action for response to customer service requests for order changes, including the maintenance of order/customer information files and communicates changes to the appropriate personnel/departments.
- Create, track, and enter data for various reports in excel (including sick day and payments).
- Track projects for installation and material deliveries.
- Track and submit timesheets for temporary staff.
- Review and submit receipts and invoices from Various departments.
- Schedule building and truck maintenance.
- Prepares and distributes confidential correspondence; managing files, prioritizing, and gathering and compiling data as required.
- Coordinate and arrange team meetings, conferences, appointments and special events by researching and compiling documentation and files from a variety of sources in a timely manner.
- Maintain and manage company hardware assigned for various jobs.
- Other Admin Duties as Needed

**Required Skills/Abilities**:

- **2+ years of Administrative Assistance experience required**:

- Excellent verbal and written communication skills, be tech savvy and great at multitasking
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and record keeping systems.
- Proficient with Microsoft Office 365 and willing to learn new programs if required. Must be familiar with basic skills in QuickBooks Online.
- Resourceful and adaptable to meet changing deadlines and assist where needed.
- Must have reliable transportation.
