**Your role**:
**Your responsibilities**:
- Assists Team members in the execution and organization of their administrative and transactional tasks;
- Writes, lays out, corrects, translates and revises various documents (templates, letters, tables, presentations, reports, including procedures and policies, etc.) for the Team and updates them;
- Makes requested changes to standardized documents and contracts, ensuring compliance with prescribed standards and proper formatting;
- Participates in various initiatives and projects of the organization, particularly in the areas of document management, database and legal fees, and ensures the electronic and physical filing of documentation;
- Performs and coordinates the classification of closing documents;
- Coordinates training internally and with outside counsel, organizes meetings, makes room reservations and event planning for Team members;
- Supports the Team in the billing and payment of services to various registries and/or outside consulting organizations;
- Performs, upon request, the necessary searches on the Internet and other search engines (Land Registry, RDPRM, CIDREQ);
- Prepares PowerPoints for presentations.
- Ensures the management of the agenda and the organization of the Team meetings.
**Your profile**:
- College diploma - paralegal or administrative (legal specialization an asset).
- A minimum of seven (7) years of experience in a similar position.
- Professional experience in the legal real estate financing domain (an asset).
- Strong knowledge of Microsoft Office software (Word, PowerPoint, Excel, Sharepoint and Outlook).
- Excellent knowledge of text formatting.
- General knowledge of legal documentation (an asset).
- Strong ability to learn computer systems.
- Excellent organizational skills and ability to manage priorities
- Good time-management skills and ability to manage multiple tasks and people simultaneously.
- Collaborative, team oriented and able to maintain good interpersonal relationships.
- Ability to work independently with mínimal supervision
- High sense of initiative, resourcefulness, attention to detail.
- Discretion and judgment in handling sensitive and confidential matters.
- Bilingualism in oral and written communication (French and English)
- As Otéra operates in Canada and the United States, the person will be required to interact with our various teams based in Montreal, Toronto and New York.
