NorWest Co-op Community Health is a non-profit community-based health care agency in the Inkster area, and a forerunner in taking a multi-service, holistic, team approach to health care. We provide a wide range of health-related services including primary health care, counselling, education/health promotion and community development. NorWest also operates a variety of resources centres, teen clinics and a youth hub, many health promotion programs and groups, a food centre, two daycares, and satellite primary care clinics among other services and programs. We have approximately 175 very engaged, innovative, dynamic and dedicated employees who, as a team, have been awarded an international-level platinum award for staff engagement several years running.

Reporting to the Executive Directors, this position provides comprehensive and professional administrative support to the Executive Directors, including document tracking, prioritization and follow up; coordination of meetings, researching and compiling background information for correspondence; maintaining records and files; liaising with all levels of the organization; drafting correspondence; supporting the Board of Directors and other committees; event planning, document/service purchase agreement & grant tracking, taking a lead role in Communications strategies and initiatives, and other general office duties.

Hours of work - Daytime hours but may include some evening and weekend work as required for Board, community, and event related work.

**Qualifications**
- Minimum 2 years experience as a senior administrative assistant role
- Experience as administrative support in Project Management
- Completion of Administrative Assistant diploma (or equivalent)
- Education and/or experience in corporate/creative communications an asset
- Proficiency in the use of social media and virtual meeting platforms
- Strong written communication skills with experience writing, proof-reading, editing, and formatting correspondence and meeting minutes with accuracy and attention to detail, as well as ability to prepare briefing notes, reports and communications such as the organization’s newsletter or AGM reports.
- Strong verbal communication skills with the ability to communicate effectively and professionally with the public and staff over the telephone, electronically and in person
- Working knowledge of and experience working with a Board of Directors
- Excellent organizational and prioritization skills
- Experience with event planning
- Experience handling sensitive and confidential information
- Strong interpersonal skills with the ability to work effectively with a variety of internal and external stakeholders
- Ability to work independently, demonstrate initiative, and be proactive
- Strong problem solving and decision-making skills
- Proficiency in the use of Microsoft Office Suite (Word, Excel, PowerPoint and Outlook)
- Experience with/knowledge of not-for-profits and/or community health centres and/or cooperatives and interest in current, local events
- Comfort and familiarity using various social media platforms, A/V equipment, and other electronic forms of communication

**Duties**
- Act as the main point of contact for the Executive Directors and Board of Directors
- Maintain the integrity and confidentiality of all information which flows through, and is processed for, the Executive Directors and management team
- Provide administrative support in relation to identified projects, such as building renovations,
- Organize and maintain the Executive Directors’ schedules and meeting materials
- Organize, arrange and set up for meetings; attend meetings and take accurate minutes
- Maintain records and file systems
- Website maintenance, social media and electronic communications
- Participate in internal and external communication strategies, including planning for, organization and preparation of newsletters, annual reports, reports to board and funders
- Maintain an accurate membership database
- Ad-hoc projects and research, as required
- Planning and organizing larger meetings and events, such as AGM, all staff meetings
- Assist with fundraising, recruitment and orientation activities
- Other duties as assigned and as reflected in the list of qualifications above
