**Position Summary**

Reporting to Dr. Abdullah Saleh, Assistant Professor, Division of Pediatric Surgery, and Director, Office of Global Surgery, the Operations Coordinator will play a key role in all aspects of the development and growth of the Office of Global Surgery. The OGS currently has established programs in ethics, acute care, trauma, burns, oncology, and pediatric surgery with more than 10 partner institutions; the Operations Coordinator will be responsible for managing the timelines and deliverables for these existing initiatives, as well as contributing to the development of additional strategic endeavors. The incumbent will also draw on their experience and expertise to assist in the development of strategic and sustainability plans to ensure the long-term success of the OGS.

**Duties**
- Administration & Operations Coordination (40%)_
- Coordinate, manage, and monitor the workings of various programs and partnerships within, or in collaboration with, the OGS
- Establish priorities in collaboration with the Director and the leadership team
- Contribute to improvement of processes and policies in support of organizational goals; ensure operations adhere to the OGS mission and vision, as well as university rules, regulations and procedures
- Plan and coordinate a variety of events and activities including workshops, seminars, conferences and podcasts
- Coordinate the calendar of the Director and other team members as required
- Draft documents such as correspondence, procedure manuals, reports, and meeting minutes; format, edit, and proofread documents/materials
- Set up and maintain filing systems, both electronic and hard copy
- Handle sensitive material in accordance with established policies
- Assemble, copy, collate, and disseminate a variety of documents and materials including distributing incoming mail and faxes, preparing outgoing mail, faxes, and courier shipments
- Coordinate, monitor, and ensure efficiency of support services such as IT
- Update and maintain information on websites and social networks in collaboration with Department and University communications team
- Assist in planning the use of human resources including but not limited to faculty, attendings, residents, and medical students both locally and internationally
- Oversee organizational insurance policies; ensure health, travel and disability insurance for travellers are in place
- Ensure Health and Safety committee meetings are held and tasks are assigned
- Facilitate visa/licensing for visiting learners and attendings both locally and internationally
- Convene, organize, and support routine administrative and project-related meetings with OGS leadership and project contributors
- Strategic & Financial Development (30%)_
- Liaise with Director and leadership team, as well as the Divisional Directors and Departmental Chairs, to determine strategic opportunities and priorities
- Co-lead and contribute to the development of new global surgery initiatives to expand the scope and depth of OGS activities. This may include but are not limited to new research projects, capacity-building programs, training and educational initiatives, and others.
- Liaise with external stakeholders to develop networks and create collaborative opportunities
